This is a fully remote position, open to applicants in Philippines.
• Professionally and clearly respond to inbound patient calls.
• Accurately gather and document patient information and inquiries.
• Assist both new and existing patients with relevant non-clinical questions.
• Promptly follow up on patient inquiries and appointment requests.
• Distinguish between requests that can be managed independently and those that require provider escalation.
• Schedule, confirm, and update patient appointments as needed.
• Manage multiple calendars and scheduling resources effectively.
• Prevent double bookings and help resolve scheduling conflicts.
• Oversee appointment notifications and any scheduling changes.
• Monitor email and referral channels for new patient inquiries and referrals.
• Follow up with potential patients and referral requests.
• Collect patient information and coordinate necessary paperwork and forms.
• Facilitate the transition of prospective patients from intake to scheduled appointments.
• Verify patient insurance eligibility and coverage details.
• Support workflows for prior authorization.
• Screen and direct medication refill requests appropriately.
• Triage patient messages and escalate to the provider as necessary.
• Maintain precise patient information and documentation in eClinicalWorks.
• Experience as a Medical/Healthcare Virtual Assistant or in a comparable healthcare support role.
• Proven experience managing inbound patient calls and patient-facing communication.
• Strong proficiency in spoken and written English.
• Excellent skills in patient scheduling and calendar management, including experience in preventing or resolving double bookings.
• Familiarity with eClinicalWorks or similar EHR/EMR systems.
• Proficient in using Google Calendar, including coordinating appointments across integrated scheduling systems.
• Experience with RingCentral or similar phone systems for patient communication.
• Knowledge of patient intake, insurance verification, and prior authorization processes.
• Ability to effectively triage and escalate patient or clinical messages.
• Strong attention to detail when managing patient information, referrals, and appointment requests.
• Organized, responsive, reliable, and consistent in follow-through.
• Comfortable operating within a patient-facing mental health practice environment.
• Must possess clear and professional spoken and written English skills.
• Relevant work experience is required.
• Must be able to provide an NBI Clearance and/or Local Police Clearance prior to onboarding (mandatory).
• Availability for video meetings with the camera on when required is essential.
• A reliable laptop or desktop computer is necessary.
• A stable high-speed internet connection (minimum 25 Mbps) is required.
• A noise-canceling headset is necessary for clear communication.
• A working webcam is needed for virtual meetings.
• A quiet and professional work environment is essential.
• Preferred: Previous experience in supporting behavioral health, mental health, psychiatry, or a similar healthcare practice.
• Preferred: Experience in coordinating referrals and new patient intake.
• Preferred: Familiarity with the routing of medication refill requests.
