This is a fully remote position, open to applicants in United States.
• Act as a reliable partner to the CEO and the executive leadership team.
• Oversee intricate and evolving calendars, managing executive schedules and logistics.
• Arrange both domestic and international travel plans.
• Prepare executives for meetings and manage sensitive matters with confidentiality.
• Draft and refine communications for the CEO and leadership, encompassing company-wide messages, all-hands meetings, town-hall talking points, organizational announcements, leadership updates, and communications regarding changes.
• Ensure a consistent tone is maintained throughout the executive office communications.
• Collaborate with the People & Culture and Marketing teams on internal messaging initiatives.
• Facilitate regular leadership meetings, track priorities, and ensure follow-through on commitments and dependencies.
• Manage agendas, materials, and action items for leadership meetings, operational reviews, offsite events, and Board meetings.
• Identify and flag risks or missed handoffs proactively.
• Optimize executive-office processes utilizing Microsoft 365, Teams, Outlook, SharePoint, Copilot, and Claude.
• Create templates, trackers, repeatable workflows, AI-assisted drafting, and meeting notes to minimize administrative tasks.
• A minimum of 6 years of experience supporting C-level or senior executives as an executive assistant, executive business partner, or in a related role.
• Proven proficiency in managing complex calendars, confidential communications, executive logistics, and handling competing priorities.
• Experience in corporate or internal communications, including the writing and editing of executive and company-wide communications, with the ability to translate strategy into a clear internal narrative.
• Strong skills in project management, follow-through, and stakeholder engagement.
• Background in coordinating executive meetings, preparing leadership updates, or managing materials and logistics for Board of Directors.
• Advanced knowledge of Microsoft 365, including Outlook, Teams, PowerPoint, and SharePoint.
• Practical experience with AI tools such as Microsoft Copilot or Claude.
• Previous experience in technology, SaaS, legal technology, or similarly complex environments is highly desirable.
• Familiarity with building operational cadences or priority-tracking systems, a background in employee engagement or change communications, along with prior exposure to Board, investor, or governance processes, is advantageous.
