This is a fully remote position, open to applicants in Mexico, +3 more countries.
• Oversee intricate calendars for two executives, managing scheduling, rescheduling, and prioritization amidst evolving demands and time zones.
• Facilitate all aspects of internal and external meetings, calls, and appointments, including logistical arrangements.
• Assess and prioritize the inboxes of both executives.
• Compose and dispatch professional follow-up communications on behalf of the executives.
• Record meeting notes and action items, ensuring follow-up on their completion.
• Prepare, revise, send, and archive executed agreements, including Non-Disclosure Agreements (NDAs).
• Maintain organized and version-controlled documentation across SharePoint.
• Manage the Customer Relationship Management (CRM) system and conduct LinkedIn outreach for the executives.
• Assist with light business development coordination efforts.
• Plan and book travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
• Identify opportunities for workflow enhancements and promote the adoption of improved tools and processes.
• Address additional ad hoc administrative responsibilities as needed.
• Act as the operational backbone and trusted right hand for two senior executives at a boutique consulting firm specializing in pricing and margin excellence.
• 3 to 5 years of experience as an Executive Assistant directly supporting senior executives.
• Proven experience in managing calendars and diaries, including navigating complex and shifting schedules across multiple stakeholders.
• Excellent proficiency in both written and spoken English.
• Ability to communicate professionally on behalf of senior leaders.
• Capacity to work independently and proactively with minimal oversight.
• Skill in supporting two executives concurrently while balancing competing priorities.
• Strong expertise in Microsoft 365 applications, including Outlook, Word, Excel, and SharePoint.
• Outstanding organizational abilities and meticulous attention to detail.
• Capability to manage a high volume of competing tasks accurately under pressure.
• Updated resume required.
• A 1–2 minute Loom video introducing yourself, detailing your experience managing complex calendars and inboxes for multiple executives simultaneously, and providing an example of anticipating needs and acting proactively is mandatory for advancement in the hiring process.
• Compensation paid in USD.
• Bi-monthly payments on the 15th and 30th.
