This is a fully remote position, open to applicants in United States, +2 more locations.
• Oversee the daily schedules for the Communications and Marketing leadership team, which includes managing calendars and organizing meetings and commitments.
• Facilitate both internal and external meetings, providing necessary documentation and support.
• Coordinate travel arrangements and logistics for both international and domestic trips, covering flights, accommodations, scheduling, and expense reports.
• Proactively identify opportunities to enhance productivity within the leadership team by taking on additional tasks.
• Streamline operations and processes, sharing innovative ideas with the team.
• Assist with special projects, such as team events, offsite meetings, and activities that foster community engagement.
• Interact with both internal and external stakeholders, ensuring strict confidentiality is upheld.
• Develop and maintain internal documentation, disseminate knowledge, and format communications for the leadership team.
• 3–7 years of experience in roles such as Executive Assistant, Administrative Assistant, or a comparable position.
• Ability to anticipate the needs of others and proactively address them.
• Prior experience collaborating with senior leaders in a dynamic, innovative, and fast-paced environment.
• Proven ability to manage multiple calendars, showcasing flexibility and problem-solving skills to adjust or prioritize schedules effectively.
• Candidates should be located in the Eastern timezone (Toronto/New York, etc.).
• Must have authorization to work in the country of residence.
• Experience as an executive assistant, particularly in a high-growth tech environment, and experience supporting a Marketing or Communications executive will be evaluated in the application process.
