This is a fully remote position, open to applicants in Philippines.
• Provide administrative and coordination assistance to an executive.
• Organize and manage the executive’s Outlook inbox by creating folders and categorizing emails.
• Address routine inquiries and correspondence when appropriate.
• Identify and take action on emails that require follow-up.
• Oversee and maintain the executive’s calendar and scheduling.
• Arrange appointments, meetings, calls, and discussions.
• Coordinate one-on-one meetings with the property management team.
• Participate in meetings to grasp context, priorities, and decisions.
• Document clear and precise meeting notes.
• Review meeting recordings, transcripts, and notes as necessary.
• Transform agreed actions and commitments into actionable tasks.
• Schedule follow-up meetings and allocate time in the executive’s calendar.
• Attend property management meetings representing or alongside the executive.
• Record relevant notes, decisions, and action items.
• Organize follow-up activities and monitor commitments until completion.
• A minimum of 2 years of experience in an administrative position.
• Experience collaborating with international clients or teams, especially from Australia, the United States, or New Zealand.
• Proficient in software and tools such as Microsoft Office Suite, Google Workspace, and project management applications.
• Experienced in managing a calendar or scheduling appointments for an executive or team.
• Comfortable communicating with clients, vendors, and team members via calls, texts, emails, or other communication methods.
• Must provide personal equipment: computer with 8GB RAM, 512GB HDD/SSD, Intel Core i5 or AMD Ryzen 5 (12th generation or newer), and Windows 11 Home or Pro.
• Have a power backup solution, such as a power station, power bank, or UPS.
• Secondary/external monitor is required.
• Must have a noise-canceling headset and webcam.
• Minimum internet bandwidth of 40–50 Mbps for both download and upload is required.
• NBI or Police Clearance is necessary.
• A government-issued ID is required.
• BIR self-registration and necessary government contributions must be in place.
• Availability to work from 7 AM to 4 PM MNL time, Monday to Friday.
• Completion of an English proficiency test and personality test is needed.
• A quiet, adequately spacious, and closable work-from-home environment is necessary.
• A dual monitor setup and backup internet connection are requested.
• Willingness to comply with Wingman IT and security requirements, system monitoring, and safety tools is essential.
• Agreement to independent contractor engagement under Singapore law with Philippines Resources Pte. Ltd. is required.
