This is a fully remote position, open to applicants in Colorado, +1 more state.
• Manage the CEO’s calendar and inbox, ensuring effective scheduling with a West Coast principal and a distributed leadership team.
• Present logistical decisions clearly to enhance planning efficiency.
• Mitigate risks to the CEO’s calendar by avoiding conflicts, missed meetings, and frequent priority changes.
• Organize frequent domestic travel, often encompassing multiple locations within a single trip.
• Oversee expense reporting and perform light financial administration tasks.
• Handle conference registrations, dining reservations, event coordination, property visits, and other travel-related activities.
• Ensure alignment of the CEO’s calendar and to-do list with established priorities.
• Adapt to changing priorities and adjust the calendar, preparation, and follow-up tasks as needed.
• Identify and assist in resolving daily prioritization conflicts.
• Safeguard the CEO’s focus by filtering what comes to his attention, what can wait, or what should be delegated elsewhere.
• Collaborate with the Chief of Staff to assign meetings and tasks effectively.
• Maintain a system of record for ongoing items, document flow, decisions, and commitments.
• Facilitate the movement of documents through review and signature processes.
• Provide context to decision-makers and connect relevant stakeholders.
• Prepare key discussion topics for important internal and external meetings.
• Assist the CEO in preparing for leadership, customer, board, and government meetings.
• Record decisions, translate them into actionable follow-ups, and ensure completion.
• Implement projects assigned by the Chief of Staff in a timely and high-quality manner.
• Collaborate with the CEO, Chief of Staff, Executive Leadership Team, and company leaders to maintain scheduling and priority alignment.
• At least five years of experience in an executive assistant or executive operations role supporting a chief executive or multiple senior executives.
• Proven history of setting tactical priorities and acting on them independently.
• Ability to perceive unspoken shifts in priority or focus and make adjustments proactively.
• Experience in representing an executive to board members, investors, or senior external stakeholders.
• Complete discretion regarding sensitive personnel, financial, and strategic information.
• Availability for after-hours support during weekdays.
• Proficient in coordinating complex domestic travel arrangements.
• Residing in the Mountain or Central time zone.
• Candidates must possess authorization to work in the United States.
• Must be eligible and committed to obtaining and maintaining a U.S. government security clearance as a condition of employment.
