This is a fully remote position, open to applicants in United States.
• Oversee intricate and often changing calendars for several executives, resolving conflicts and anticipating scheduling requirements.
• Organize logistics, agendas, and materials for Executive Committee meetings, Board meetings, leadership offsites, and town halls.
• Coordinate comprehensive travel itineraries for executives, including flights, accommodations, and ground transport.
• Compose, proofread, and format correspondence, presentations, and reports.
• Manage and reconcile expense reports, invoices, and purchase requests.
• Act as the primary point of contact for executives, leadership teams, Executive Committee members, Board members, regulators, and external partners.
• Participate in selected leadership meetings, taking notes, tracking action items, and following up with stakeholders.
• Collaborate with the Facilities & Events Manager on team offsites and departmental events, including budget management and vendor coordination.
• Work alongside the CEO's Executive Assistant to synchronize scheduling practices and offer backup coverage.
• Uphold confidentiality with sensitive information.
• A minimum of 5 years of experience as an Executive Assistant supporting C-suite or senior executives, preferably in financial services or fintech.
• Proven capability to manage multiple complex and competing calendars while handling confidential and sensitive information with sound judgment and discretion.
• Advanced skills in Google Workspace and Mac, along with expertise in expense and travel management platforms.
• Excellent written and verbal communication abilities, capable of representing executives professionally with the Board, regulators, and external partners.
• Established ability to foster trusted working relationships with senior executives, Board members, and cross-functional stakeholders at all levels.
• High level of professionalism, initiative, and adaptability in a fast-paced, deadline-oriented environment.
• Willingness to travel more than 6 times a year for high-quality in-person collaboration.
• Experience supporting executives in a regulated bank, credit union, or other depository institution (preferred).
• Understanding of Board and Board Committee meeting logistics, materials preparation, and governance practices (preferred).
• Bachelor's degree (preferred).
