This is a fully remote position, open to applicants in South Africa, +2 more countries.
β’ Oversee calendars, appointments, meetings, and travel logistics.
β’ Coordinate both personal and professional schedules for executives.
β’ Manage confidential correspondence and communications with utmost discretion.
β’ Prepare meeting agendas, presentations, notes, and follow-up action items.
β’ Monitor deadlines, reminders, and ongoing priorities.
β’ Assist with personal errands, research, reservations, purchases, and various executive requests.
β’ Identify repetitive tasks that can be automated or streamlined.
β’ Utilize AI tools to enhance productivity, documentation, scheduling, research, and communication.
β’ Develop and maintain simple workflows, templates, and standard operating procedures.
β’ Provide support to the CEO, executive leadership, and senior team members in personal and administrative tasks.
β’ Enable executives to concentrate on high-value work by managing daily responsibilities and coordinating projects.
β’ Bachelor's degree in Business Administration or a related field.
β’ At least 2 years of experience supporting executives, senior leadership, or business owners.
β’ Demonstrated experience working remotely for a U.S.-based company is essential.
β’ Experience in supporting a U.S. law firm is advantageous.
β’ Bilingual proficiency in English and Mandarin Chinese is preferred but not mandatory.
β’ Exceptional organizational and time management skills.
β’ Strong written and verbal communication skills in English.
β’ High level of discretion when managing confidential information.
β’ Quick adaptability to learning and using new technology.
β’ Familiarity with project management platforms such as Monday.com, Asana, ClickUp, or similar tools.
β’ Keen interest in AI tools and workflow automation, with the ability to identify efficiency improvement opportunities.
β’ Highly resourceful, detail-oriented, and capable of independently managing multiple priorities.
β’ Availability for full-time work, 8 hours per day excluding a 1-hour break.
β’ Ability to maintain a minimum of 6 hours of overlap with the firm's operating hours in Pacific Time.
β’ Proof of qualifications and professional references may be requested.
β’ Engagement as an independent contractor, with responsibility for tax compliance.
β’ Completion of a practical assessment during recruitment may be required.
