This is a fully remote position, open to applicants in United States.
• Take charge of managing intricate calendars, addressing scheduling conflicts, and ensuring that leaders’ time aligns with their top priorities.
• Facilitate both virtual and in-person meetings, overseeing agendas, materials, logistics, technology, and follow-up tasks.
• Assist in organizing leadership meetings, operational reviews, off-site gatherings, and other significant events.
• Create and enhance executive-ready presentations utilizing PowerPoint and Google Slides.
• Draft, edit, and format internal and external communications, reports, meeting documents, and other executive materials.
• Monitor decisions, action items, deadlines, and follow-ups to maintain progress across various priorities.
• Organize travel arrangements, prepare comprehensive itineraries, and manage expense reports efficiently.
• Equip leaders for meetings by collecting pertinent context, structuring materials, and anticipating questions or requirements.
• Collaborate with teams throughout the organization to synchronize information and support cross-functional projects.
• Identify gaps, inefficiencies, or recurring challenges and devise practical solutions.
• Acquire and utilize new technologies, including productivity and AI-enhanced tools, to streamline workflows and enhance efficiency.
• Assist with special projects, both independently and in collaboration, based on changing business needs.
• Manage confidential and sensitive information with sound judgment and discretion.
• A minimum of 3 years of experience providing support to multiple senior executives in a complex, fast-paced setting.
• Proven ability to handle competing priorities and simultaneous assignments with accuracy, urgency, and strong follow-through.
• Advanced skills in presentation development using PowerPoint and/or Google Slides.
• Proficient in Microsoft Office or Google Workspace, including spreadsheet and reporting tools.
• Experience utilizing AI-enabled productivity tools in a professional context to enhance efficiency and work quality.
• Strong written and verbal communication skills, including the capability to engage effectively with executives and stakeholders at all levels.
• Exceptional organizational, planning, and time-management skills.
• Excellent attention to detail and the ability to relate daily activities to broader business goals.
• Strong judgment, professionalism, and discretion in handling confidential information.
• Comfort with adopting new technologies and quickly learning unfamiliar systems.
• A proactive, solutions-oriented mindset that recognizes what needs to be accomplished and takes ownership.
• A strong sense of ownership and consistent follow-through from initial request to completion.
