This is a fully remote position, open to applicants in Philippines.
• Offer executive assistant services to several senior leaders.
• Oversee intricate scheduling across multiple calendars for executives in different time zones.
• Address recurring scheduling conflicts, arrange international meetings, and manage last-minute changes.
• Monitor leaders’ commitments, follow up on outstanding items, and prepare them for future engagements.
• Manage inboxes, prioritize tasks, and respond on behalf of senior leaders when appropriate.
• Arrange travel and manage expense reports.
• Organize meetings, document notes, and ensure follow-up actions are completed.
• Collaborate with external stakeholders, including technology executives, academic researchers, and community volunteers.
• Develop and enhance templates, trackers, and automated processes to create efficient support systems.
• Handle sensitive information with utmost discretion.
• Proven experience in managing complex, multi-calendar scheduling for several executives across various time zones, including handling recurring conflicts and international meetings.
• Strong ability to keep leaders on track by monitoring commitments, following up on pending items, and preparing them for upcoming tasks.
• Experience in inbox management, including the ability to identify priorities and respond on behalf of senior leaders when necessary.
• Proficient in managing travel arrangements, expense reports, meeting preparations, notes, and follow-ups.
• Skilled in coordinating with external stakeholders such as executives from leading technology firms, academic researchers, and community volunteers.
• Capability to create and refine repeatable systems, including templates, trackers, and automations.
• Aptitude for handling confidential information with total discretion.
• Ability to adjust communication styles to suit a diverse range of stakeholders.
• Demonstrated technical curiosity.
• Experience in remote work environments.
• Excellent written and spoken English communication skills.
• Competency in managing personal time effectively and assisting senior leaders in managing theirs through effective communication and influence.
• Strong critical thinking skills and adaptability to changing information and ambiguity.
• Familiarity with Google Workspace and a willingness to learn new tools.
• CEFR English proficiency level is required for the application.
