Executive Assistant

This is a fully remote position, open to applicants in Canada.

📋 Description

• Oversee inbox management for the Integrator and Visionary, escalating matters that require their attention.

• Actively manage and organize calendars for both executives.

• Safeguard focus time and resolve scheduling conflicts a minimum of three business days in advance.

• Organize recurring meetings, including one-on-ones, skip-levels, roundtables, and all-hands gatherings.

• Compose and coordinate communications on behalf of the executives.

• Manage logistics for Leadership L10 meetings and ensure that scorecards are prepared.

• Organize quarterly and annual planning sessions along with V/TO materials.

• Maintain the accountability chart and recurring reporting packages.

• Coordinate monthly and quarterly communications for the entire team.

• Manage employee swag, recognition, engagement activities, and team events.

• Assist with interview scheduling and candidate coordination.

• Ensure confidentiality regarding employee and candidate information.

• Keep the application and technology inventory updated.

• Monitor users, costs, contracts, and renewal dates.

• Alert about renewals and critical decisions at least 30 days prior.

• Coordinate administrative follow-ups with technology providers.

• Maintain the master commitment list for the Integrator and Visionary.

• Track ownership, deadlines, and status of commitments.

• Follow up on pending commitments and proactively identify risks.

• Establish dependable systems for inbox, calendar, meetings, commitments, reporting, People & Culture, and technology administration within the first 90 days.


⛳️ Requirements

• Over 3 years of experience supporting a senior executive, COO, Integrator/Visionary, Partner, or a similar leader.

• Outstanding organizational skills and follow-through.

• Proactive, self-motivated, and capable of working independently.

• Comfortable holding others accountable to deadlines.

• Strong written communication skills and sound judgment.

• Highly discreet when handling confidential information.

• Able to work remotely across different time zones.

• Technologically savvy and quick to adapt to new tools.

• Proficient in utilizing AI to enhance productivity.

• Experience with EOS and familiarity with L10s, Rocks, and V/TO (preferred).

• Background in professional services or accounting (preferred).

• Experience in supporting an executive leadership team (preferred).

• Familiarity with Karbon, BambooHR, Microsoft 365, QBO/Xero, Fireflies, or Claude (preferred).

• Ability to work remotely within Canada, aligned with Eastern Time.
