This is a fully remote position, open to applicants in United States.
• Deliver thorough administrative assistance to executives and senior leadership.
• Oversee executive calendars, appointments, meetings, and schedules.
• Facilitate internal and external meetings across various time zones.
• Create meeting agendas, presentations, reports, and other documents for executives.
• Monitor action items, deadlines, and follow-ups from meetings.
• Support executives in daily organization and prioritization of tasks.
• Organize and manage executive emails, messages, and correspondence.
• Draft, proofread, and format professional emails, documents, presentations, and reports.
• Engage with clients, vendors, employees, and external partners.
• Handle confidential and sensitive information with discretion.
• Organize and maintain digital files, records, documents, and databases.
• Arrange travel logistics, itineraries, accommodations, and schedules as needed.
• Assist with tracking expenses, reimbursements, and administrative paperwork.
• Support company events, meetings, and special projects.
• Conduct research and prepare summaries or reports for leadership’s review.
• Monitor projects, priorities, and deliverables.
• Collaborate with internal departments to ensure tasks and requests are fulfilled.
• Keep track of deadlines and communicate any potential delays or issues.
• Maintain task lists and follow up with stakeholders as required.
• Assist in enhancing administrative workflows and organizational processes.
• Minimum of 2 years of professional experience as an Executive Assistant, Administrative Assistant, Personal Assistant, Office Administrator, or in a similar role.
• Exceptional written and verbal communication skills.
• Strong organizational, time-management, and multitasking capabilities.
• Proven track record in managing calendars, meetings, schedules, and competing priorities.
• High proficiency in Microsoft Office or Google Workspace, including Outlook/Gmail, Word/Docs, Excel/Sheets, and PowerPoint/Slides.
• Excellent attention to detail and accuracy.
• Ability to professionally handle confidential and sensitive information.
• Strong follow-up and task-management abilities.
• Capacity to work independently and proactively in a remote setting.
• Professional and polished communication style.
• Bachelor’s degree in Business Administration, Management, Communications, or a related field is preferred, or equivalent practical experience.
• Experience providing support to C-level executives or senior leadership.
• Familiarity with working in international or distributed teams.
• Knowledge of project management and collaboration tools such as Asana, Monday.com, ClickUp, Trello, Slack, or Microsoft Teams.
• Experience coordinating international travel and complex schedules across multiple time zones.
• Proven experience in preparing executive presentations, reports, and business documents.
• Solid understanding of business administration and office management practices.
• Experience in a fast-paced startup or professional services environment.
• Bilingual or multilingual communication skills are a plus.
• Must be available to work within the 7 AM–7 PM CST time range and maintain a 9-hour daily schedule (8 working hours plus a 1-hour break).
