This is a fully remote position, open to applicants in United States.
β’ Take charge of the comprehensive planning, coordination, and execution of various events within the Arrowfly portfolio.
β’ Direct and oversee event lifecycles to align with business objectives, brand standards, and audience requirements.
β’ Maintain thorough event plans, timelines, and operational checklists.
β’ Organize live-event logistics, which include signage, catering, on-site operations, and room block management.
β’ Cultivate and oversee relationships with venues, suppliers, speakers, entertainment partners, and service providers.
β’ Negotiate contracts to obtain favorable terms.
β’ Collaborate with Marketing, Sales, Editorial, Design, and Events teams to integrate event programming.
β’ Manage on-site activities, vendor coordination, and real-time problem resolution during event execution.
β’ Evaluate event performance through analytics, attendance metrics, and post-event reports.
β’ Conduct post-event assessments and facilitate stakeholder debriefs.
β’ Deliver actionable insights to enhance future strategies and improve ROI.
β’ Minimum of 3 years of experience in live event production.
β’ Bachelor's degree in hospitality, marketing, or a related field is highly preferred.
β’ Capability to manage multiple workstreams, including budgets, contracts, timelines, floor plans, and run-of-show details.
β’ Excellent written and verbal communication skills.
β’ Proficient in negotiating with vendors, managing stakeholder expectations, and leading on-site staff.
β’ Ability to address last-minute event challenges, such as speaker delays, weather complications, and technical failures.
β’ Flexibility to adapt to changes in weather, venue limitations, guest lists, or schedules.
β’ Proficient in budget management, including expense tracking, spend forecasting, and utilizing financial tools to optimize ROI.
β’ Comfortable using event technology platforms and tools.
β’ Strong contract management and record-keeping capabilities.
β’ Effective relationship management with a diverse vendor portfolio, including venues, AV, security, and catering.
β’ Willingness to travel frequently for on-site event responsibilities.
