This is a fully remote position, open to applicants in United States.
• Strategically plan and implement Arbital Health's annual company Summit.
• Develop and oversee event timelines, checklists, budgets, project plans, and run-of-show documents.
• Organize venues, catering, transportation, lodging, entertainment, audiovisual needs, activities, signage, promotional items, shipping, inventory, and other logistical aspects of events.
• Collaborate with internal stakeholders on programming, speaker arrangements, team activities, and company-wide communications.
• Handle relationships with external vendors, including managing contracts, invoices, and logistics.
• Ensure seamless onsite execution and act as a primary point of contact before and during events.
• Foresee potential issues and create proactive solutions.
• Conduct follow-ups after events and document key learnings.
• Oversee participation in industry conferences, trade shows, and external events.
• Manage registrations, sponsorship logistics, booth materials, shipping, promotional items, and staffing.
• Collaborate with Marketing, Sales, Customer Success, and other departments to prepare for events.
• Assist with webinars and virtual events, including scheduling, speaker preparation, platform setup, registration tracking, and day-of support.
• Maintain comprehensive event calendars, project trackers, budgets, expenses, invoices, deadlines, and deliverables.
• Plan and execute internal company events, team gatherings, celebrations, offsites, and employee experiences.
• Develop standardized event planning processes and checklists.
• Occasionally travel for conferences, the Summit, offsites, and other company events.
• 3+ years of experience in event planning, coordination, hospitality, marketing events, corporate events, or a related field.
• Outstanding organizational and project management abilities.
• Strong attention to detail.
• Capability to manage multiple events, priorities, and deadlines concurrently.
• Excellent communication skills and follow-through.
• Comfortable coordinating with executives, employees, customers, vendors, and external partners.
• Proactive, problem-solving attitude with a strong willingness to take initiative.
• Strong vendor management and relationship-building skills.
• Comfortable overseeing budgets, invoices, and event-related expenses.
• Ability to remain calm and resourceful when plans shift or issues arise.
• Willingness to travel for events as required.
• Genuine passion for creating memorable experiences.
• Positive attitude and enthusiasm for crafting engaging experiences.
• Must be legally authorized to work in the United States for the duration of employment.
