Event Venue Sourcing Coordinator

This is a fully remote position, open to applicants in Spain, +1 more country.

📋 Description

• Serve as the main point of contact within the CoE and take charge of assigned programs.

• Collaborate with specified internal teams or international clients to facilitate venue sourcing.

• Evaluate meeting requests and conduct qualification calls for meetings.

• Formulate and execute program and profit/negotiation strategies.

• Recommend suitable event locations based on destination expertise.

• Collect necessary information to source and organize events.

• Assess supplier proposals for suitability and competitiveness.

• Provide availability grids in line with client deadlines and review them with clients and teams.

• Monitor supplier option dates and follow up regarding program status.

• Examine supplier contracts and confirm terms, conditions, attrition dates, and cancellation policies.

• Negotiate pricing and concessions with selected suppliers.

• Create meeting records and finalize internal program documentation prior to turnover.

• Negotiate with DMCs and other third-party suppliers both pre- and post-sale.

• Track tentative, confirmed, and canceled programs.

• Maintain precise records, input in systems, and file management.

⛳️ Requirements

• Exceptional written and verbal communication abilities in both English and German.

• Minimum of 1 year of experience in a comparable position.

• Background in project management, meeting management, and client relations.

• Experience managing budgets effectively.

• Strong skills in prioritization.
