This is a fully remote position, open to applicants in Europe.
• Oversee and implement comprehensive congress, webinar, advisory board, and medical education event projects both onsite and remotely.
• Independently design, configure, and deploy live engagement applications across web, mobile, portal, video, and AI utilizing SpotMe Backstage CMS.
• Effectively manage client relationships and senior stakeholders through clear and timely communication throughout the project lifecycle.
• Coordinate the execution of event-day activities with stakeholders and provide training for faculty, field sales teams, booth personnel, and agencies.
• Evaluate event applications and set up and test onsite technology, including interaction-tracking apps, microapps, iPads, and badge printers.
• Prepare and brief speakers for webinars, virtual sessions, and onsite medical events.
• Ensure seamless operations for both virtual and in-person events.
• Manage post-event communications, analyze event data, and produce reports, dashboards, and recommendations.
• Oversee congress and life science projects from start to finish, including onsite presence.
• Encourage faculty members to embrace medical education strategies.
• Lead projects across various use cases, including webinars, congresses, medical education, and advisory boards.
• Supervise projects alongside junior and associate team members.
• Take on the role of Program Lead for brand engagement initiatives.
• Assist in generating new business through upsell referrals and business development efforts.
• Minimum of 2 years of experience in congress engagement, KOL and pharma stakeholder management, as well as planning and executing congress and medical education events.
• Around 2–4 years of experience in event or meeting management or a related field.
• Extensive knowledge in planning and executing pharma meetings and congresses from an agency or corporate perspective.
• Familiarity with pharma priorities before, during, and after events.
• Capability to translate intricate workflows into clear and effective standard operating procedures.
• Proficiency in engaging customers, KOLs, and medical societies in the US and EU with a strong service-oriented mindset.
• Ability to influence stakeholders and escalate issues to leadership when necessary.
• Competence in delivering practical technical solutions and confidently building and shipping initiatives.
• Capacity to balance pharma regulatory compliance and legal review processes with business goals.
• Skill in identifying customer needs and prioritizing valuable solutions.
• Fluency in German and English.
• Willingness to travel frequently, including out-of-hours availability and weekend work.
• Openness to spending approximately 20–40% of time traveling onsite.
• Total compensation adjusted based on location, experience, and travel frequency.
