This is a fully remote position, open to applicants in California, +17 more states.
• Oversee the complete execution of Zearn's in-person full Team Summits, from the initial planning stages to onsite delivery.
• Manage venue logistics, hotel accommodations, audio-visual needs, materials, transportation, registration, and access-related logistics.
• Lead onsite event execution in collaboration with the Director of People and team.
• Work alongside session owners, presenters, vendors, and internal teams to anticipate requirements and address challenges.
• Handle vendor relationships, contracts, event budgets, and payment schedules.
• Manage logistics for in-person gatherings of functional teams.
• Organize Zearn Updates and other organization-wide virtual meetings.
• Implement culture-building initiatives and team-member lifecycle interactions, including anniversaries, holiday gifts, milestones, and onboarding welcomes.
• Assist in developing and enhancing Slack communities and remote connection opportunities.
• Experiment with Generative AI and communication tools to enhance team-member lifecycle interactions.
• Create and sustain repeatable playbooks, processes, and best practices for team-wide experiences.
• Collect feedback, analyze insights, and share findings for continuous improvement.
• Enhance event operations processes, documentation, communications, and post-event wrap-up procedures.
• Stay updated on trends and research related to team-member experience, events, and remote-first culture.
• A minimum of 4 years of proven experience in project management for complex corporate events.
• Experience preferably with organizations having 150–300 team members.
• A successful history of designing and executing virtual events that foster engagement and cultural connection.
• Familiarity with using Generative AI to optimize workflows, enhance communication touchpoints, or analyze team-member feedback.
• Highly organized, with the ability to manage multiple vendors and intricate budgets.
• A strong commitment to Zearn’s mission and a passion for cultivating an enabling culture.
• Capability to manage projects at various levels, coordinate cross-functional stakeholders, and drive daily execution.
• This role functions as an individual contributor reporting to the Director of People.
• Must be able to work remotely from CA, CT, FL, IL, LA, MA, MD, NC, NJ, NY, OH, OR, PA, TN, TX, VA, WA, WI, or Washington D.C.
• Willingness to travel for Zearn’s biannual Team Summits, with additional travel as required.
