This is a fully remote position, open to applicants in United States.
• Oversee the comprehensive planning and execution of both in-person and virtual meetings and events from inception to completion.
• Create summaries post-event for evaluation and improvement.
• Partner with business stakeholders to develop thorough event plans and financial budgets.
• Ensure adherence to budgetary constraints and policy regulations.
• Identify, negotiate, and collaborate with venues, audiovisual suppliers, decorators, and various other vendors.
• Engage with internal and external participants to guarantee the success of the events.
• Facilitate smooth on-site operations, ensuring customer satisfaction and a positive attendee experience.
• Design event experiences while addressing customer inquiries and needs.
• Establish templates, playbooks, and process enhancements for consistent event delivery.
• Coordinate with the CEO, Chief of Staff, and executive leadership to identify and fulfill program requirements.
• Manage and oversee the online registration system.
• Arrange necessary travel itineraries in collaboration with the Travel Team.
• Draft event budgets and conduct final financial reconciliations.
• Negotiate contracts while adhering to PMI Legal and Procurement protocols.
• Collaborate across multiple departments effectively.
• Adhere to deadlines and turnaround times for assigned events and projects.
• A bachelor’s degree in a relevant field or equivalent professional experience.
• Minimum of 7+ years' experience in comprehensive event planning and execution.
• Proven experience in organizing both small and large convention center events.
• Willingness to work outside standard business hours and on weekends.
• Expertise in organizing meetings and events internationally and domestically.
• Proficient in Microsoft Office Suite, including Excel, PowerPoint, and Teams.
• Excellent organizational, problem-solving, and troubleshooting abilities in high-pressure situations.
• Proactive attitude with a strong capacity to meet deadlines and assume responsibility for tasks.
• Strong skills in contract negotiation.
• Critical thinking abilities and the capability to implement creative solutions.
• Capacity to cultivate internal and external relationships.
• Customer service and care skills.
• Competence in executing detailed plans, collecting and analyzing data, and preparing succinct summaries.
• Proficiency in English.
• Willingness to travel up to 25% of the time.
• Industry certifications such as CMP, CMM, PMP, or CAPM are advantageous.
• Flexibility to work remotely or in a virtual environment.
