This is a fully remote position, open to applicants in United States.
• Oversee the portfolio of regional meetings, sponsorships, advocacy conferences, and patient-family conferences.
• Ensure a dependable source of truth for status, expenditures, deadlines, and deliverables.
• Monitor budgets, forecasting, reconciliation, performance, and discrepancies.
• Administer sponsorship registration and processing, which includes deadlines, payments, deliverables, and entitlements.
• Coordinate attendance for field and leadership, along with materials, giveaways, kits, and logistics for regional faculty or speakers.
• Manage fulfillment center operations for two brands, focusing on vendor performance, inventory, updates to the ordering portal, replenishment, and asset retirement.
• Collaborate with Field Sales, Field Medical, and Patient Advocacy to foresee needs and ensure timely delivery of materials and information.
• Keep accurate records of regional KOL engagement information.
• Handle venue, booth/table-top, print/signage vendors, and event logistics.
• Organize shipping, setup, dismantling, and post-meeting reconciliation.
• Manage competing event deadlines while reporting on status, risks, obstacles, and necessary decisions.
• Implement sponsorships and HCP-facing programs in compliance with Legal/Compliance guidelines, including the PhRMA Code, Sunshine Act/Open Payments, and fair-market-value principles.
• A minimum of 4 years of experience in supporting or managing regional meetings, sponsorships, field-facing events, or similar initiatives.
• Preferred experience in life sciences, biotech, healthcare, or other regulated industries.
• Capability to handle a high volume of simultaneous commitments while keeping track of deadlines, deliverables, and expenditures.
• Proficient in tracking event or sponsorship budgets, including forecasting, reconciliation, and identifying variances.
• Experience in managing vendors and ensuring partners meet timelines, deliverables, and quality standards.
• Background in supporting field-facing teams.
• Strong skills in spreadsheet management, tracking, and reporting.
• Excellent communication skills across functions with proactive risk escalation.
• Highly organized and able to remain calm under pressure, demonstrating ownership and judgment in problem-solving.
• Familiarity with the PhRMA Code, Sunshine Act/Open Payments, and fair-market-value principles is an advantage.
• Willingness to travel to specified regional meetings.
• Comfort with screen work, basic hand coordination, focus, regular use of computers/devices, and occasional movement.
