This is a fully remote position, open to applicants in United States.
• Strategize, implement, and oversee medical and marketing events, which include conferences, symposia, educational programs, and speakers’ bureau.
• Create detailed event plans that align with marketing objectives, product positioning, and regulatory compliance standards.
• Collaborate with the commercial sales team to identify target audiences, choose event formats, and select venue locations.
• Oversee event budgets, negotiate with vendors, and control costs effectively.
• Manage event logistics encompassing booth design and setup, catering, AV equipment, registration, transportation, and on-site staffing.
• Supervise event setup and breakdown while adhering to venue requirements and safety protocols.
• Handle speaker recruitment, presentation management, and rehearsal organization.
• Manage contract assessments, HCP agreements, vendor arrangements, Purchase Requests, and Purchase Orders.
• Work closely with accounting to guarantee prompt payment for vendors and speakers.
• Create event marketing materials, website content, promotional emails, and social media campaigns.
• Oversee pre-event communications with attendees, speakers, and vendors.
• Coordinate post-event follow-up, participant surveys, and data analysis.
• Ensure compliance with pharmaceutical marketing regulations, disclosure statements, and requirements for interaction with healthcare professionals.
• Monitor and manage risks related to event planning and execution compliance.
• Partner with sales, marketing, medical affairs, and legal teams.
• Cultivate relationships with healthcare professionals, thought leaders, and industry associations.
• Perform additional duties and projects as needed across functions.
• A High School Diploma with 9+ years of progressive experience in event planning and execution is required; or a Bachelor's degree in marketing, event management, or a related field, along with 5+ years of progressive experience in event planning and execution.
• A minimum of 2 years of event management experience within the pharmaceutical industry is required.
• In-depth knowledge of pharmaceutical marketing regulations and compliance guidelines is essential.
• Strong project management abilities, including budgeting, timeline management, and risk assessment skills.
• Proficiency in event management software and digital marketing tools, including Jira, Concur, Dynamics 365, and Monday.com.
• Capacity to independently manage projects with minimal supervision.
• Ability to juggle multiple projects concurrently.
• Exceptional organizational skills and meticulous attention to detail.
• Excellent time management capabilities with a proven track record of meeting deadlines.
• Flexibility and adaptability to shifting priorities in a fast-paced work environment.
• Must live within approximately 30 minutes of a major airport.
• Willingness to travel 60%-70% of the time is needed.
• Availability Monday–Friday during standard business hours.
• Physical mobility to work in a standard office environment and utilize standard office equipment.
• Capability to lift and carry materials weighing up to 20 pounds.
