Event Design Coordinator

This is a fully remote position, open to applicants in Spain, +2 more countries.

📋 Description

• Act as the main point of contact for creative requests related to events

• Define deliverables, formats, quantities, deadlines, dimensions, venue/vendor limitations, and brand guidelines

• Identify conflicting timelines, unrealistic turnaround times, and missing information

• Provide designers with comprehensive specifications

• Oversee multiple simultaneous event workstreams across teams and deadlines

• Monitor active requests and proactively identify bottlenecks

• Evaluate deliverables for brand consistency, copy accuracy, resolution, color mode, bleed, trim, safe zones, file formats, and platform specifications

• Maintain a scalable quality assurance checklist and process

• Organize and document event assets, briefs, and final deliverables in shared drives

• Keep track of vendor information, production specifications, and lessons learned

• Anticipate risks related to vendors, production, scope, and shipping, and develop contingency plans

• Coordinate with vendors and print/production partners

• Deliver proactive status updates to stakeholders

• Act as a liaison between business requesters and the design team

• Continuously enhance intake and review processes

⛳️ Requirements

• Over 5 years of experience in event marketing, event production, creative operations, or project management with a strong emphasis on events

• Demonstrated experience in managing print and digital production processes

• Understanding of dielines, safe areas, RGB, and print production standards

• Exceptional organizational and multitasking abilities

• Capacity to handle multiple concurrent, cross-functional requests with competing deadlines

• Keen attention to detail

• Experience in reviewing and providing actionable feedback on creative work from designers

• Proactive and risk-aware mindset

• Outstanding written and verbal communication skills

• Familiarity with project management tools such as Asana, Monday, or similar

• Knowledge of design review tools such as Figma

• Experience in establishing shared drive structures or asset libraries

• Fluent in English

• Proficiency in Italian is a plus
