This is a fully remote position, open to applicants in Colorado.

📋 Description

• Assist in the pre-event planning process, including managing team documents, communications, data management, attendee and rooming lists, procurement of materials, shipping, and inventory.

• Arrange, monitor, compile, and coordinate all on-site materials and deliverables.

• Preserve and retrieve reports as well as historical records of events.

• Perform errands, place online orders, and keep track of expenses.

• Travel to pre-planning meetings and the event itself.

• Organize, pack, ship, dispatch, and unpack materials for the event.

• Oversee the execution of tasks by the on-site planning team and assist during on-site team meetings.

• Unload, organize, inventory, and distribute materials post-event.

• Address guest inquiries, follow up, and send mailers.

• Finalize expenses and manage vendor invoicing.

• Gather survey responses and compile reporting data for the After-Action Report.

• Collaborate with the 1YL Director, Travel Coordinator, and Planning Team to successfully execute the 1YL 2028 conference.


⛳️ Requirements

• A high school diploma and a minimum of 3 years of relevant experience, or an equivalent combination of education and experience, are required.

• Preferred experience in hospitality or dynamic event environments.

• Highly professional and trustworthy, with a strong ability to engage with executive leadership.

• Ability to remain calm under pressure and manage multiple requests at the same time.

• Excellent organizational and multitasking capabilities with a keen attention to detail.

• Proficient in Microsoft Office Software, Canva, Google Sheets, and Google Drive.

• A self-starter who can think critically, adapt, and independently resolve situations in real-time.

• Comfortable handling both administrative and hands-on physical tasks.

• Strong communication skills and effective follow-through with the event team and stakeholders.

• Flexible availability, including extended evenings and weekends during event week.

• Reliable transportation and a willingness to run scheduled errands.

• Capable of lifting or moving boxes weighing up to 15 lbs.

• Must profess belief in Jesus Christ as personal Savior and Lord and adhere to Young Life's Statement of Faith and required policies.
