This is a fully remote position, open to applicants in Philippines.
β’ Analyze tender invitations, project briefs, drawings, specifications, schedules, and scope documents.
β’ Pinpoint key requirements, deadlines, exclusions, and any missing information.
β’ Assist in preparing cost inputs for materials, labor, subcontractors, equipment, and more, using approved templates.
β’ Review drawings, schedules, equipment lists, lighting control requirements, and specifications to determine quantities and inclusions.
β’ Solicit quotations from suppliers and subcontractors, then create comparison tables.
β’ Follow up on outstanding supplier responses and maintain pricing records.
β’ Draft tender responses, quotation schedules, scope summaries, inclusions, exclusions, assumptions, and submission checklists.
β’ Maintain spreadsheets for estimating, price lists, supplier records, tender registers, and project databases.
β’ Ensure that current drawings, specifications, price lists, quotations, and tender documents are utilized and stored appropriately.
β’ Organize approved tender information and assist with project handovers.
β’ Monitor tender deadlines, clarification requests, outstanding supplier information, internal approvals, and client submission requirements.
β’ Provide regular updates regarding tender status, deadlines, missing information, supplier responses, and completed submissions.
β’ Support the Australian technical and project teams while escalating technical, commercial, or scope-related inquiries as needed.
β’ Note that independent approval of technical designs, certification of engineering calculations, programming of systems, commissioning, conducting site inspections, approving final pricing, or signing contractual commitments is not permitted.
β’ Around one to two years of experience in a relevant or similar role, such as estimating assistant, tender administrator, quantity surveying assistant, construction administrator, project coordinator, procurement assistant, engineering administrator, or electrical/building-services support.
β’ Practical experience in preparing spreadsheets, quotations, cost comparisons, tender documents, or project administration records.
β’ Strong attention to detail and the ability to identify missing, inconsistent, or outdated information.
β’ Proficient in written and spoken English.
β’ Solid working knowledge of Microsoft Excel, Word, Outlook, Google Workspace, or similar office systems.
β’ Capability to manage deadlines, multiple tenders, follow-ups, and changing priorities.
β’ A reliable internet connection and an appropriate home office setup.
β’ Availability to work during agreed Australian business hours overlap.
β’ Willingness to learn about technical products, building automation concepts, lighting control systems, energy management terminology, and internal procedures.
β’ Ability to perform routine estimating and tender support tasks with guidance and escalate technical, commercial, or scope-related questions.
β’ Desirable: experience in construction, electrical, mechanical, engineering, architecture, facilities, or building services.
β’ Desirable: experience supporting Australian construction or engineering businesses.
β’ Desirable: knowledge of tendering, quantity takeoffs, estimating, procurement, supplier pricing, purchase orders, variations, or subcontractor coordination.
β’ Desirable: familiarity with reading construction drawings, equipment schedules, lighting layouts, specifications, or scope documents.
β’ Desirable: experience with construction/project management platforms, cloud document systems, CRM platforms, or estimating software.
β’ Desirable: exposure to lighting control, building management systems, energy management systems, electrical controls, KNX, DALI, Dynalite, zencontrol, Optergy, NICE, or similar technologies.
β’ Comprehensive training provided.
β’ Introduction to building automation, lighting control, and energy management systems.
β’ Familiarization with the companyβs products, suppliers, terminology, and project types.
β’ Training on estimating templates, tender registers, document structures, and approval processes.
β’ Guidance on reviewing drawings, schedules, specifications, and project scopes.
β’ Training on internal communication, escalation, file naming, version control, and reporting standards.
β’ Supervised preparation of initial estimates and tender submissions before transitioning to independent support.
