This is a fully remote position, open to applicants in Philippines.

📋 Description

• Act as a vital financial and administrative support for the Restoration department.

• Assist in managing projects from initiation to completion.

• Collaborate with Project Managers, Operations, Accounting, subcontractors, and clients.

• Develop and maintain project budgets and takeoffs in Sage utilizing the appropriate cost codes, cost types, and project margins.

• Convert Xactimate estimates and budgets provided by Operations into the system.

• Track project costs, contract values, committed work, and budget availability.

• Detect discrepancies and execute budget adjustments.

• Review project financial activities to ensure projects remain within budget and margin expectations.

• Coordinate billing and payments for subcontractors and vendors, including invoices, lien waivers, ACH details, approvals, corrections, and documentation.

• Monitor payment statuses and address billing concerns.

• Communicate with subcontractors and Accounts Payable regarding pending items, accruals, and payment exceptions.

• Process change orders from subcontractors and maintain logs and documentation of these changes.

• Prepare and input prime contract change orders in Sage, validate pricing and margins, and route client documents via DocuSign.

• Act as the main accounts receivable contact for assigned Restoration projects.

• Manage client follow-ups, payment statuses, outstanding balances, and collection efforts.

• Keep track of project-specific and state-specific lien deadlines.

• Escalate high-risk receivables or payment issues to management.

• Collect and maintain financial data for WIP reporting.

• Aim to independently oversee the Restoration WIP process.

• Review and assist with MRP billing, including Type 1 and Type 2 job classifications and processing.

• Facilitate client and lender communications concerning supplements, owner change orders, insurance billing, and ACV/RCV processes.

• Address departmental inquiries related to budgets, billing, change orders, project costs, and margins.

• Help with MIT project bonus tracking and necessary documentation.

• Keep organized project records and communicate any financial or administrative issues impacting project execution or cash flow.

⛳️ Requirements

• 3 to 5 years of experience in construction accounting, restoration, project administration, or a related field.

• Strong grasp of construction financial principles, including project budgets, cost codes, margins, change orders, subcontractor billing, accounts receivable, and WIP reporting.

• Proficiency with Sage and Xactimate is highly preferred.

• Familiarity with restoration insurance processes, including ACV/RCV and insurance estimating, is preferred.

• Excellent attention to detail, organizational skills, and accuracy when working with financial and project data.

• Outstanding written and verbal communication abilities with clients, subcontractors, Project Managers, Operations, and Accounting.

• Capability to identify problems, explore solutions, and proactively follow through to resolution while managing multiple projects and deadlines concurrently.

• Ability to handle sensitive financial and project information with professionalism and discretion.

• Experience with QuickBooks, Smartsheet, Acumatica, SAP, or similar systems.

• Additional education or training in accounting, construction, or business is advantageous.

• Background in multifamily property restoration or insurance-related construction billing.

• Updated resume is required.
