This is a fully remote position, open to applicants in Canada.
• Oversee the intake database for docket requests and manage the processing of incoming court docket and legal document inquiries.
• Assess requests to ascertain the relevant court, docket, and necessary documents.
• Conduct research and obtain dockets and legal filings utilizing online legal research tools and court resources.
• Submit requests to state and federal courts when documents are not readily accessible.
• Accurately fill out court request forms with all required information.
• Process document retrieval fees using company-approved payment methods.
• Input request, court, document, and payment details into the docket fulfillment system.
• Download, organize, and attach retrieved documents to the associated client requests.
• Promptly return completed requests and documents to the respective requester.
• Address issues related to missing dockets, sealed entries, unavailable documents, and other reported concerns.
• Keep track of pending requests and follow up to ensure timely completion.
• Maintain records of fulfilled requests and their associated costs for monthly client billing.
• Communicate the status of requests, issues, and exceptions to team members and management.
• Adhere to established processes and quality standards to ensure accuracy, completeness, and confidentiality.
• Prior experience in data entry, document processing, administrative support, or a similar role.
• Strong attention to detail with a high degree of accuracy.
• Excellent organizational and time management abilities.
• Proficient in using computer applications, databases, and data entry systems.
• Capability to learn and navigate new software, online research tools, and document management systems.
• Strong written and verbal communication skills.
• Ability to work autonomously and manage multiple requests and priorities.
• Capacity to follow established procedures while identifying and resolving issues.
• Must currently reside in Canada.
• Must have legal authorization to work in Canada.
• Successful completion of criminal, educational, and employment history background checks.
• Preferred: Legal education or coursework in law, legal studies, paralegal studies, or a related field.
• Preferred: Experience with legal documents, court records, or legal databases.
• Preferred: Familiarity with online legal research platforms or court document systems.
• Preferred: Previous experience in a legal, financial, or professional services setting.
• Preferred: Experience processing document retrieval requests or interacting with government or court systems.
• Preferred: Familiarity with document management or workflow management systems.
