Dispatcher

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee and enhance the daily dispatch schedule for San Diego and the Quad-County service areas.

• Assign technicians based on their location, availability, workload, job requirements, and estimated service times.

• Collaborate closely with the Technician Supervisor to align operational needs with technician schedules, availability, and time-off requests.

• Continuously monitor schedules throughout the day and make real-time adjustments for cancellations, delays, site access issues, scheduling conflicts, and other unforeseen changes.

• Act as the primary point of contact for field technicians regarding scheduling, routing, site access, and logistical matters.

• Organize vehicle and equipment maintenance to ensure fleet readiness while minimizing disruptions to technician schedules.

• Manage the daily Courier route to limit unnecessary travel and administrative errands for field technicians.

• Facilitate sample drop-offs at laboratories and the delivery of supplies, equipment, and gear between the shop and field locations.

• Implement service-specific time-to-complete requirements to develop realistic schedules and prevent overbooking.

• Recognize opportunities to improve routing, decrease unnecessary mileage, and enhance technician productivity.

• Utilize CRM systems, scheduling platforms, and automation tools to ensure precise assignments and enable client and technician notifications.

• Monitor scheduled jobs and proactively identify potential bottlenecks before they affect clients or field teams.

• Relay schedule changes and operational updates to technicians, supervisors, clients, and internal teams.

• Maintain accurate records of dispatch, scheduling, maintenance, and logistics.

• Assist in the continuous improvement of dispatch processes, routing strategies, and field operations.

• Uphold the confidentiality of company business records.

⛳️ Requirements

• At least 2 years of experience in dispatching, scheduling, logistics, field operations, project coordination, or a related field.

• Strong capability to organize tasks geographically and chronologically, creating efficient schedules across multiple service areas.

• Experience in coordinating multiple employees, vehicles, appointments, or field-based activities at the same time.

• Outstanding organizational and multitasking abilities, with a keen attention to detail.

• Strong problem-solving skills and the ability to make prompt decisions in a fast-paced environment.

• Capacity to anticipate scheduling conflicts, identify operational bottlenecks, and devise practical solutions.

• Excellent verbal and written communication skills.

• Ability to collaborate effectively with field technicians, supervisors, clients, laboratories, and internal teams.

• Skill in balancing operational efficiency with technician availability, workload, and scheduling needs.

• Proficiency in Microsoft Office, CRM platforms, scheduling systems, and other business software.

• Comfortable using digital calendars, maps, routing platforms, and visual scheduling tools.

• Ability to learn company-specific services and understand estimated service times to create accurate schedules.

• Strong capability to manage changing priorities while ensuring accuracy and meeting deadlines.

• Proactive approach to enhancing efficiency and tackling operational challenges.

• English proficiency at B2 level or higher.

• Proven experience in remote work with a dedicated home office setup, reliable computer, quality headset, and stable internet connection.

• Preferred: Experience dispatching field technicians, inspectors, service professionals, or other mobile teams.

• Preferred: Experience in environmental testing, construction, facilities, maintenance, home services, or another field-service environment.

• Preferred: Experience with CRM automation, conditional workflows, or automated scheduling and notification systems.

• Preferred: Experience coordinating vehicle or equipment maintenance.

• Preferred: Experience managing courier, delivery, or sample transportation logistics.
