Dispatcher

This is a fully remote position, open to applicants in Mexico.

📋 Description

• Oversee and enhance the daily dispatch schedule for San Diego and the Quad-County service areas.

• Assign technicians based on their location, availability, workload, job requirements, and estimated service durations.

• Collaborate closely with the Technician Supervisor to align operational needs with technician schedules, availability, and time-off requests.

• Continuously monitor schedules throughout the day, making real-time adjustments for cancellations, delays, site access challenges, scheduling conflicts, and other unforeseen changes.

• Act as the main point of contact for field technicians concerning scheduling, routing, site access, and logistical matters.

• Coordinate vehicle and equipment maintenance to ensure fleet readiness while minimizing disruptions to technician schedules.

• Manage the daily Courier route to minimize unnecessary travel and administrative tasks for field technicians.

• Organize sample drop-offs at laboratories and the delivery of supplies, equipment, and gear between the shop and field locations.

• Implement service-specific time-to-complete requirements to develop realistic schedules and avoid overbooking.

• Identify opportunities for routing improvements, reducing unnecessary mileage, and enhancing technician productivity.

• Utilize CRM systems, scheduling platforms, and automation tools to maintain precise assignments and facilitate notifications for clients and technicians.

• Monitor scheduled jobs and proactively identify potential bottlenecks before they affect clients or field teams.

• Clearly and promptly communicate schedule changes and operational updates to technicians, supervisors, clients, and internal teams.

• Keep accurate records of dispatch, scheduling, maintenance, and logistical activities.

• Support the ongoing enhancement of dispatch processes, routing strategies, and field operations.

• Uphold the confidentiality of company business records.

⛳️ Requirements

• At least 2 years of experience in dispatching, scheduling, logistics, field operations, project coordination, or a similar role.

• Strong capability to organize tasks both geographically and chronologically, creating efficient schedules across various service areas.

• Proven experience in coordinating multiple employees, vehicles, appointments, or field-based activities at the same time.

• Exceptional organizational and multitasking abilities, with keen attention to detail.

• Strong problem-solving skills and the capability to make timely decisions in a dynamic environment.

• Ability to foresee scheduling conflicts, identify operational bottlenecks, and devise practical solutions.

• Excellent verbal and written communication skills.

• Proficient in working effectively with field technicians, supervisors, clients, laboratories, and internal teams.

• Capable of balancing operational efficiency with technician availability, workload, and scheduling demands.

• Proficient in Microsoft Office, CRM platforms, scheduling systems, and other business software.

• Comfortable using digital calendars, maps, routing platforms, and visual scheduling tools.

• Ability to learn company-specific services and comprehend estimated service times to construct accurate schedules.

• Strong capacity to manage shifting priorities while maintaining accuracy and meeting deadlines.

• Proactive approach to enhancing efficiency and addressing operational challenges.

• English proficiency at B2 level or higher.

• Demonstrated experience working remotely with a dedicated home office setup, reliable computer, quality headset, and stable internet connection.

• Preferred: Experience in dispatching field technicians, inspectors, service professionals, or other mobile teams.

• Preferred: Experience in environmental testing, construction, facilities, maintenance, home services, or another field-service setting.

• Preferred: Experience with CRM automation, conditional workflows, or automated scheduling and notification systems.

• Preferred: Experience in coordinating vehicle or equipment maintenance.

• Preferred: Experience in managing courier, delivery, or sample transportation logistics.
