This is a fully remote position, open to applicants in United States.
• Assist the VP of Design & Engineering with design evaluations, governance of standards, vendor assessments, and document management across a concurrent multi-project portfolio.
• Ensure project document organization, including file naming conventions, revision management, access permissions, and confidentiality protocols.
• Log, distribute, track, issue, and archive drawing sets, specifications, submittals, RFIs, transmittals, and comments from design reviews.
• Monitor design review cycles against stage-gate milestones and identify any delayed deliverables.
• Maintain compliance and deviation logs, RFI logs, bid comparison matrices, current-revision registers, and action item logs.
• Compile review packages that include consolidated comment logs and track responses.
• Coordinate reviews across multiple disciplines and time zones, including design workshops, kick-off meetings, and knowledge transfer sessions.
• Create meeting agendas, document minutes, ensure follow-up actions are completed, and escalate any stalled issues.
• Assist in the bidding process through RFP distribution, bidder Q&A tracking, proposal collection, and the completion of comparison workbooks.
• Onboard consultants and vendors to document platforms and naming protocols.
• Maintain contact lists, consultant scopes, and organizational charts for the design team.
• Manage candidate pipelines and scheduling for interviews related to design and engineering recruitment.
• Maintain and control versions of company design standards, checklists, and templates.
• Oversee a busy multi-time-zone calendar, including travel arrangements and itinerary organization.
• Prepare presentation materials, expense reports, and correspondence.
• A minimum of 5 years supporting teams in engineering, architecture, construction, or data center development.
• Proven experience in document control for active design or construction projects.
• Proficient understanding of drawing sets, specification sections, workflows for submittals and RFIs, and design phase deliverables (SD/DD/CD/IFC).
• Advanced skills in Excel, PowerPoint, Word, Outlook, and SharePoint.
• Experience with at least one AEC platform such as Procore, Autodesk Construction Cloud/BIM 360, Newforma, Sitetracker, Bluebeam Revu, or similar.
• Outstanding organizational skills and commitment to follow-through; capable of managing action item closures independently.
• Strong, clear written communication skills; adept at accurately summarizing technical statuses for executive reviews.
• Direct experience with data centers or mission-critical facilities is preferred.
• Familiarity with OPR/BOD frameworks, commissioning documentation, and methodology for deviation logs is preferred.
• Understanding of MEP, electrical, and structural terminology sufficient to direct comments to the appropriate discipline is preferred.
• Experience collaborating with international teams and navigating different code environments is preferred.
• A degree or certificate in architecture, engineering, construction management, or a related technical field is preferred.
