Cut & Sew Production Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee daily interactions with existing and potential factories, relaying updates to the Cut & Sew Specialist.

• Utilize Alibaba, WhatsApp, email, and other authorized channels to send inquiries, confirm details, follow up, and document results.

• Facilitate communication during Chinese factory hours and U.S. hours for Heavenly Studios.

• Maintain a flexible split schedule with reliable overlap for both time zones.

• Track supplier performance and highlight significant concerns prior to making commitments.

• Ensure the internal team receives clear and timely insights into factory operations.

• Provide summaries of status, completed actions, confirmed information, outstanding questions, risks, decisions needed, and next steps.

• Organize communication logs, quote documents, factory profiles, and sample records.

• Keep projects updated from sourcing through to production and delivery.

• Refresh trackers following material changes and monitor quotes, samples, revisions, approvals, deposits, production, inspections, shipping, and delivery schedules.

• Coordinate product specifications, sample development, revisions, and approvals.

• Dispatch up-to-date tech packs, measurements, fabrics, colors, labels, trims, decoration, and packaging instructions.

• Ensure feedback and approvals are version-controlled.

• Identify and assess new factories for apparel, accessories, packaging, and custom products.

• Evaluate factory capabilities, confirm requirements, request quotes or samples, and present options along with concerns and next steps.

• Gather comparable quotes and organize cost data.

• Validate unit costs, minimums, sample fees, setup charges, materials, packaging, and shipping information.

• Keep updated records of factory and supplier relationships, including contacts, capabilities, product offerings, pricing history, minimums, samples, lead times, responsiveness, quality history, and relationship status.

• Bachelor's degree in Marketing, Communications, Business Administration, or a related field.

• 1–2 years of experience in a direct Promotional, Customer Service, or Order Management role.

• Strong verbal and written communication skills in English.

• Capability to work overnight/graveyard shifts in Philippine time or within U.S. operational hours.

• Proficiency in using Alibaba and WhatsApp for business communications.

• Comfortable maintaining detailed spreadsheets or databases.

• Experience with Google Workspace is a plus.

• Ability to evaluate supplier quotations and adhere to written processes.

• Preferred experience in cut-and-sew apparel, overseas manufacturing, product development, purchasing, sourcing, or production coordination.

• Valuable familiarity with fabrics, garment construction, trims, labels, packaging, tech packs, measurements, minimum order quantities, sample development, production lead times, quality-control terminology, and international shipping.

• Advantageous experience coordinating factories in China or other international manufacturing regions.

• Experience supporting a U.S.-based apparel or consumer-products company is a plus.
