This is a fully remote position, open to applicants in Michigan, +3 more states.
• Oversee the entire contract process from intake through review, approval, execution, and filing.
• Provide support to Sales and Operations in the routing and approval of contracts.
• Verify that exhibits, scopes of work, insurance requirements, schedules, and accompanying documents are complete.
• Maintain records of contracts and executed agreements within contract management systems.
• Monitor contracts that require action, approval, signature, renewal, or follow-up.
• Collaborate with Legal, Operations, Project Management, Risk, and leadership for any additional review required.
• Manage the onboarding of customers, pre-bid processes, and the qualification of vendors and subcontractors.
• Organize qualification packages and track financial, safety, insurance, bonding, licensing, certification, project experience, and reference details.
• Facilitate annual and periodic renewals.
• Monitor expiring insurance, licenses, certifications, and other essential documents.
• Assist with customer audits and compliance evaluations.
• Aid project teams with contract and compliance documentation.
• Track requirements for subcontractor onboarding.
• Generate subcontractor agreements using standard company templates.
• Oversee compliance of lower-tier subcontractors within external portals.
• Keep track of notices, change-order documentation, and contract communications.
• Resolve or escalate issues related to missing, incomplete, conflicting, or non-compliant documentation.
• Maintain reports that reflect the status of contracts, qualifications, and compliance.
• Monitor open and aging items and provide updates to owners.
• Identify any process gaps and bottlenecks.
• Assist in workflow enhancements, data cleanup, document migration, and system projects.
• Create and maintain templates, checklists, and procedures.
• Aim to minimize manual work, delays, and errors.
• An associate’s or bachelor’s degree in business administration, Construction Management, Supply Chain Management, Risk Management, or a related field is preferred.
• Relevant experience may be accepted in place of formal education.
• 3–5 years of pertinent experience in contract administration, construction or industrial project administration, customer onboarding, prequalification, procurement, vendor/subcontractor management, compliance, or risk management.
• Preferred experience in heavy civil construction, industrial services, environmental services, specialty contracting, equipment rental, or commercial construction.
• Familiarity with customer onboarding and pre-bid processes.
• Understanding of contract administration and document control.
• Knowledge of vendor and subcontractor qualification processes.
• Basic understanding of insurance and risk concepts.
• Familiarity with construction or industrial terminology.
• Knowledge of contract lifecycle management.
• Understanding of safety and regulatory documentation.
• Strong organizational skills and ability to follow through on tasks.
• Capacity to identify issues and escalate them when necessary.
• Excellent written and verbal communication skills.
• Ability to collaborate across teams and manage competing deadlines.
• Proficiency in Microsoft Excel, Word, Outlook, and Teams.
• Experience with SharePoint or similar document management systems.
• Familiarity with contract management systems such as Ironclad, DocuSign CLM, Contract Logix, or similar.
• Experience with ERP systems such as NetSuite, SAP, Viewpoint, Oracle, or similar.
