This is a fully remote position, open to applicants in United States, +1 more country.
• Oversee low-risk, low-value contracts throughout the entire lifecycle, adhering to YPO standards and service requirements.
• Manage and maintain the Contract Lifecycle Management (CLM) software system.
• Assist the contract team in drafting summaries, gathering information, and obtaining W-8 and W-9 forms from prospective vendors.
• Ensure that all agreements featuring the YPO logo receive approval from the marketing team.
• Organize and maintain contract file storage in line with established policies and procedures.
• Contribute to internal training initiatives and education regarding the contract lifecycle and contracting processes.
• Handle CLM support tickets, troubleshoot user issues, and escalate when necessary.
• Provide support for CLM system training and offer ongoing assistance to business users.
• Assist with continuous improvement efforts, testing, enhancement, and documentation of CLM workflows and processes.
• Offer administrative support to the department as required.
• Serve as backup support for the Procurement Specialist when needed.
• Fulfill ad hoc reports, tasks, and projects as necessary.
• A minimum of 3 years’ experience in contract administration, procurement, or business operations.
• Proficient understanding of contract principles, terms, and the contract lifecycle.
• Outstanding organizational capabilities and attention to detail, with the ability to manage a high volume of contracts and adhere to deadlines.
• Strong administrative competencies.
• Excellent customer and stakeholder service skills, catering to both internal business users and external vendors.
• Superior written and verbal communication skills.
• Proficiency in Microsoft Office Suite or similar software.
• Experience with a contract lifecycle management (CLM) system, including system administration or user support, is highly preferred.
• Bachelor’s degree or equivalent relevant work experience.
• Flexibility to work extended or flexible hours as needed to accommodate team members and stakeholders across various time zones.
• Willingness and ability to travel domestically and internationally without restrictions, up to 0–5% per year.
• Capability to sit for prolonged periods at a desk and work on a computer.
• Ability to maintain confidentiality and integrity regarding sensitive information.
• Skill in prioritizing competing opportunities, balancing member and internal stakeholder needs with business priorities, managing cross-functional expectations, and articulating decision rationales clearly.
• Ability to communicate effectively and foster positive relationships across boundaries.
