This is a fully remote position, open to applicants in Philippines.
• Oversee both planned and reactive maintenance requests for various clients.
• Arrange scheduling for technicians and subcontractors based on their availability, location, expertise, and compliance standards.
• Track daily schedules and make adjustments for delays, rescheduled appointments, or urgent tasks.
• Facilitate technician attendance, site access, and job requirements effectively.
• Balance competing priorities to ensure projects progress within set timelines.
• Assist in managing on-call schedules and ensuring timesheet accuracy.
• Create, update, and maintain job records, quotes, and work orders in SimPRO or similar software.
• Keep precise records of job statuses, technician hours, materials used, rates, and other relevant information.
• Follow up on outstanding jobs, quotes, purchase orders, and work orders.
• Manage client portals and internal documentation efficiently.
• Prepare accurate job invoices and submit necessary documentation for processing.
• Aid in contract administration, document control, and other general administrative functions.
• Communicate with clients regarding bookings, schedule modifications, technician attendance, and job completion.
• Address client inquiries and provide updates through email, phone, and client portals.
• Escalate issues and assist in resolving scheduling or service-related challenges.
• Foster positive working relationships with technicians, subcontractors, supervisors, and clients.
• Ensure technicians and subcontractors have completed necessary inductions, safety checks, and possess required documentation before site visits.
• Maintain records that support contract and client obligations.
• Provide the necessary documentation with invoices to help minimize payment delays.
• Uphold workplace health, safety, quality, and environmental compliance standards.
• Collaborate closely with the Contract Services Team Lead, Contract Services Manager, and Supervisors to ensure jobs are scheduled efficiently, completed punctually, and documented properly.
• Candidates must be based in the Philippines.
• 1 to 3 years of experience in scheduling, maintenance coordination, facilities management, construction, trade services, or a comparable field.
• Demonstrated experience in coordinating both planned and reactive maintenance activities.
• Strong expertise in scheduling and coordination.
• Familiarity with SimPRO or a similar job management/field service software.
• Knowledge of building, maintenance, or trade service processes.
• Excellent written and verbal communication skills in English.
• High attention to detail and strong data accuracy skills.
• Proficiency in Microsoft Office and general business software applications.
• Capability to work collaboratively with technicians, subcontractors, supervisors, and management.
• Ability to work independently and take ownership of tasks until completion.
• Must disclose any ongoing roles or client commitments.
• Engagement should be reflected on their LinkedIn profile.
• Fully remote work from home.
• Operate during Australian business hours, Monday to Friday.
