Contract Administration Manager

This is a fully remote position, open to applicants in Tennessee.

📋 Description

• Lead the evaluation and management of the company’s project contracts, encompassing subcontract agreements, prime contracts, Master agreements, and vendor/supplier terms.

• Identify, highlight, redline, negotiate, and escalate high-risk contract clauses throughout the execution process.

• Maintain standards for contract reviews, checklists, playbooks, and decision matrices.

• Oversee requests for bids, payments, and performance bonds as well as the prequalification process.

• Administer OCIP, CCIP, and LSIP wrap-up insurance programs, which include deduct tracking, calculators, and monthly reporting.

• Review insurance requirements and manage certificates of insurance, evidence of insurance, and endorsements.

• Ensure compliance with contractor licenses and related registrations across operating states.

• Lead, mentor, and develop the contract administration team; manage onboarding, training, objectives, one-on-ones, and touch-bases.

• Act as an escalation point for issues related to contract billing, collections, and reviews.

• Provide cross-departmental training for Project Managers and Estimators.

• Collaborate with project management, accounting, and legal teams to establish best practices and compliance protocols.

• Oversee the setup of new-project billing across GC Pay, Textura, Procore, and Siteline.

• Ensure timely and accurate monthly pay applications in AIA and custom/portal formats.

• Manage the processing of change orders and revisions to pay applications.

• Oversee compliance regarding specialized and statutory billing, including stored materials, sales tax, MWBE/HUB, sworn statements, and certified payroll.

• Assist with billing disputes by reviewing contract terms and project documentation.

• Own the accounts-receivable strategy and drive targets for DSO reduction.

• Lead weekly reviews of Top 50 collections and manage aging escalation processes.

• Oversee the collection of retainage and maintain a shared inbox.

• Manage lien rights processes, including preliminary notices, deadlines, lien waivers, vendor/supplier lien releases, and project closeout documentation.

• Ensure that insurance certificates, subcontractor compliance documents, and legal paperwork are up-to-date and securely stored.

• Administer GC Pay and Textura while managing the contract aspect of Salesforce, Siteline, Procore, Gaviti, and LinkSquares.

• Lead the Continuous Improvement program and maintain the team’s SOP library.

• Track essential metrics, report weekly KPIs, and conduct continuous improvement reviews with leadership.


⛳️ Requirements

• Over 5 years of experience reviewing commercial construction contracts (including subcontracts, prime contracts, and GC agreements), with a focus on identifying and negotiating contract risks.

• More than 2 years in a leadership or supervisory capacity, ideally within a subcontractor environment.

• Strong working knowledge of construction contract terms, lien laws, bonds and prequalification processes, wrap-up insurance programs (OCIP/CCIP), billing workflows, and compliance requirements.

• Experience in administering construction billing and contract platforms (e.g., GC Pay, Textura, Procore, Siteline, Salesforce).

• Proficiency in Microsoft Office and experience with ERP or project management systems.

• Exceptional organizational and interpersonal skills with a keen attention to detail.

• Notary Public commission preferred (or willingness to obtain upon hire).

• Preferred: Experience in the glass & glazing, curtainwall, or trade subcontracting industries.

• Experience in reviewing contracts and processing billing on GC platforms such as Textura, GC Pay, or Procore.

• Familiarity with contract lifecycle management tools (e.g., LinkSquares, Docusign), multi-state lien deadlines, and statutory billing forms (certified payroll, MWBE/HUB, sales tax).

• Experience in leading continuous improvement or process standardization initiatives.
