This is a fully remote position, open to applicants in Alabama, +27 more states.
• Act as the main point of contact for confirmed speakers and moderators, overseeing everything from sourcing and preparation to presentation collection, onsite assistance, and post-event communication.
• Develop and oversee the processes for speaker confirmation, preparation, and feedback for HIMSS events.
• Organize meetings for speakers to prepare for sessions and panels.
• Provide administrative support to event and content program committees and advisory groups.
• Maintain speaker agreements and collaborate with the Finance team to handle travel expenses or honoraria.
• Assist Senior Content Leads with content programming, speaker management, and session oversight.
• Coordinate calls for speakers and case studies in collaboration with Professional Development.
• Manage agenda and speaker information on HIMSS websites, event sites, and apps.
• Utilize the HIMSS speaker management platform for onboarding speakers, updating agendas, and creating the talent database.
• Execute queries for the HIMSS International content team as required.
• Oversee program documents, ensuring alignment and accuracy across all documents.
• Organize scheduling, event materials, communications, and reminders.
• Keep internal teams informed with the latest agenda updates.
• Organize and maintain scalable data with consistent formatting, audit trails, and version control.
• Conduct regular audits to identify duplicate or missing information and uphold data integrity.
• Manage the speakers bureau and work in tandem with global content leads, Professional Development, and Membership.
• Support HIMSS chapters with content and speaker access.
• Provide onsite assistance at selected HIMSS events, with travel expected approximately three times a year.
• Carry out additional tasks as assigned to meet HIMSS goals and strategic objectives.
• Must reside in one of the eligible states: Alabama, California, Colorado, District of Columbia, Delaware, Florida, Georgia, Illinois, Indiana, Kansas, Kentucky, Massachusetts, Maryland, Maine, Michigan, Missouri, North Carolina, New Hampshire, New Jersey, Nevada, New York, Ohio, Pennsylvania, South Carolina, Tennessee, Texas, Utah, Virginia, Vermont, Washington, or Wisconsin.
• Bachelor’s Degree in business, communications, project management, or a related field.
• Three to five years of experience in event content programming or a similar role involving communication with external subject matter experts.
• Preferred experience in healthcare or technology.
• Outstanding project management abilities and a capacity to handle competing priorities.
• Excellent verbal and written communication skills.
• Capability to interact effectively with individuals at all levels of responsibility and authority.
• Knowledge of streaming technologies and event registration platforms/tools.
• Proficient in Microsoft Outlook, PowerPoint, Teams, SharePoint, and Excel.
• Experience or working knowledge of Events Air, Monday.com, and Salesforce is strongly preferred.
• Proven experience with registration systems, web platforms, and content management software.
