This is a fully remote position, open to applicants in Ohio, +1 more state.
• Oversee and coordinate project documentation for construction projects using Procore and various project management tools.
• Achieve or maintain Procore Integrator-level certification through training approved by the company.
• Process and manage Submittals, RFIs, COPs, change documentation, and other construction records via Procore.
• Keep track of all compliance documentation required by local, state, and federal authorities.
• Organize, monitor, and archive all project-related files, drawings, communications, and records as per company standards.
• Prepare and distribute meeting agendas and minutes using Procore or platforms preferred by clients.
• Coordinate project scheduling milestones, equipment procurement, deliveries, and related logistics.
• Assist Project Managers in maintaining project schedules and ensuring successful project execution.
• Help in the preparation and organization of documentation needed for project invoicing.
• Support subcontractor administration by tracking subcontract documents, budgets, cost analysis, monthly accruals, cost forecasting, and reporting.
• Process and monitor invoices, purchase orders, change orders, and project expenditures to guarantee accuracy, necessary approvals, and prompt payments.
• Provide daily administrative support to the construction team, including document preparation, correspondence, scheduling meetings, and invoice processing.
• Coordinate, prepare, and distribute bid packages.
• Assist in identifying and pre-qualifying subcontractors.
• Manage bid-related RFIs and issue addenda as necessary.
• Compile bid responses and prepare bid tabulations for review.
• Track and oversee the project closeout process from substantial completion to final documentation.
• Organize and submit closeout documents in line with regulatory and contractual obligations.
• Provide regular project reporting, documentation support, and technical assistance.
• Cultivate positive and professional relationships with internal teams, subcontractors, and clients.
• Show flexibility in work hours to accommodate project demands.
• Complete additional duties as assigned.
• Bachelor’s degree in a related discipline or a combination of education and relevant work experience.
• A minimum of four (4) years of experience in supporting large-scale construction projects, upgrades, renovations, or retrofits involving institutional, government, commercial, or industrial facilities.
• Proven ability to gather, validate, and analyze quantitative data.
• Proficiency in Microsoft Excel, Word, PowerPoint, and other Microsoft Office applications.
• Capability to manage multiple priorities efficiently while maintaining a keen attention to detail.
