Construction Administrator – AU Residential Experience

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the centralized scheduling functions for trades and suppliers across all construction projects.

• Manage daily scheduling and coordination of trades, suppliers, and construction activities using Polaris.

• Collaborate with site supervisors to ensure projects stay on schedule.

• Lead all scheduling-related communications with trade contractors and suppliers, covering aspects such as deliveries, variations, and site access requirements.

• Follow up on outstanding actions, resolve conflicts, and uphold construction timelines.

• Monitor project milestones and upcoming work fronts, identify potential risks, and escalate issues promptly.

• Organize and facilitate daily Construction Scheduling Huddles.

• Document and track actions in Polaris.

• Coordinate trade access and schedules for rectification of defects and warranty items.

• Assist with ad-hoc procurement and provide Estimated Time of Arrival (ETA) handover dates.

• Maintain project information, schedules, workflow tasks, compliance records, and communication logs in Polaris and SharePoint.

• Support applications for Occupancy Certificates, Practical Completion documentation, and compliance requirements.

• Coordinate trade attendance during the Practical Completion Inspection (PCI) period.

• Manage the shared inbox.

• Provide scheduling updates and program performance metrics to the Production and Estimating Manager.

• Collaborate with Site Supervisors, Estimating, Customer Experience (CX), trade contractors, suppliers, regulatory authorities, certifiers, and utility providers.

• Achieve performance targets related to stakeholder response times, booking confirmations, schedule-delay mitigation, and workflow completion.

• Experience in residential construction or site management.

• Knowledge of construction sequencing.

• Skills in trade scheduling and coordination.

• Understanding of trade dependencies and potential delays.

• Excellent communication and follow-up abilities.

• Experience in the Australian market is highly desirable.

• Proactive ownership of tasks.

• Familiarity with scheduling software and systems.

• Strong organizational skills and attention to detail.

• Problem-solving abilities and adaptability.

• Capability to work closely with site supervisors.
