This is a fully remote position, open to applicants in United States.
• Assess incoming housing code violation notices and validate case details
• Confirm addresses, unit numbers, notice numbers, cited items, and deadlines
• Generate or verify work orders for specific violations
• Check for existing work orders before creating new entries
• Ensure accurate case information is maintained across necessary systems
• Prioritize tasks based on repair deadlines and urgency
• Review finalized work orders and accompanying documentation
• Confirm that photographs and completion notes align with the required repairs
• Match evidence to the appropriate violation
• Identify inadequate, missing, or ambiguous documentation
• Request corrections or additional documentation as needed
• Escalate questionable items instead of making assumptions
• Compile proof-of-repair packets following established templates
• Submit completed documentation through relevant government portals
• Choose the necessary re-inspection or submission options
• Accurately log submission activities
• Keep cases active until final agency approval
• Maintain records of outstanding items, deadlines, and subsequent steps
• Communicate via email and Slack with internal team members and, when appropriate, client contacts
• Adhere to established SOPs and operational procedures
• Maintain clear written notes, captions, and escalation summaries
• Assist with additional compliance-processing tasks as assigned
• Meet performance standards for reviewed work orders, prepared evidence packets, and first-pass acceptance rates
• Previous experience in operations, case management, quality control, claims processing, compliance, or similar process-driven roles required
• Proficiency in using VLOOKUP in Excel or Google Sheets
• Strong skills in document review and data verification required
• Excellent written English required
• Experience working under deadlines and measurable KPIs highly preferred
• Comfort with learning various web-based platforms
• Strong attention to detail and process discipline required
• Customer service or client communication experience preferred
• Experience in property management, facilities, maintenance coordination, real estate operations, insurance claims, or regulatory compliance is a plus but not mandatory
• Experience with spreadsheets and basic image handling preferred
• Exceptionally detail-oriented and accurate
• Strong document-reading and data-verification abilities
• Comfortable reviewing photographs and assessing evidence completeness
• Disciplined in managing repetitive daily workflows
• Capable of prioritizing tasks based on deadlines
• Comfortable in a metrics-driven work environment
• Able to work independently without constant supervision
• Technically adept with web-based systems
• Proactive in flagging issues rather than guessing
• Reliable, motivated, and accountable for deliverables
• Familiarity with Slack, Google Workspace, Microsoft Office/Microsoft 365, web-based business platforms, government/compliance portals, and client proprietary systems
• Strong written English; accent preference Level A-C
• Availability for 20 contracted hours per week, Monday-Friday, between 10:00 AM-2:00 PM EST or 2:00 PM-6:00 PM EST
• Must operate under a Master Services Agreement and Statement of Work as an independent contractor
