This is a fully remote position, open to applicants in Philippines.
• Support the preparation of contracts for commercial property transactions, both sales and purchases, adhering to established standards and solicitor guidelines.
• Organize and prepare property searches, title-related documents, correspondence related to transactions, and settlement paperwork.
• Assist in drafting special conditions, settlement instructions, transfer-related documents, and completion materials.
• Monitor finance, due diligence, title, access, and settlement deadlines.
• Aid in the review of leases and tenancy agreements.
• Coordinate documentation for electronic settlement processes.
• Draft initial versions of business sale and purchase contracts.
• Create disclosure documents, schedules, annexures, and other supporting materials for transactions.
• Review transaction documents for their accuracy and completeness.
• Prepare deeds of assignment, novation deeds, landlord consent documents, restraint deeds, releases, and settlement documentation.
• Organize legal due diligence and manage financial, property, commercial, employee, corporate, and other supporting documents.
• Maintain due diligence registers, lists of outstanding items, trackers for conditions precedent, and settlement checklists.
• Open, organize, and manage electronic files related to legal matters.
• Ensure document version control, manage task lists, maintain key date calendars, and keep correspondence records.
• Prepare file notes, transaction summaries, and status reports for the supervising solicitor.
• Draft professional communications to clients and other stakeholders as instructed.
• Format, proofread, and finalize legal documents.
• Assist with invoicing, cost disclosures, trust accounting instructions, and other administrative tasks.
• Contribute to the maintenance and enhancement of legal precedents, checklists, and transaction workflows.
• A minimum of 2 years of experience in a Paralegal, Legal Assistant, Conveyancing Assistant, Legal Secretary, or a similar role providing transactional legal support.
• Proven experience in supporting commercial property, conveyancing, corporate, leasing, or business sale matters.
• Strong skills in legal document preparation and document management.
• Excellent proficiency in both written and spoken English.
• Experience in drafting professional correspondence for clients and stakeholders.
• Proficient in Microsoft Word, including skills in document formatting, styles, tracked changes, document comparison, tables, headers and footers, and PDF conversion.
• Exceptional attention to detail regarding legal names, dates, monetary amounts, schedules, execution blocks, annexures, and transaction data.
• Strong organizational skills with the capability to manage multiple matters and deadlines effectively.
• Ability to work autonomously in a remote setting while adhering to detailed instructions.
• Proactive in identifying missing information, following up on outstanding requirements, and escalating issues as necessary.
• Ability to maintain strict confidentiality when dealing with sensitive legal and client information.
• Preferred experience in supporting Australian lawyers or legal practices.
• Background in commercial property, conveyancing, business sales, acquisitions, or commercial leasing.
• Experience in Australian, UK, New Zealand, or other common-law legal systems.
• Familiarity with legal due diligence and document review processes.
• Experience with cloud-based legal practice or document management systems.
• Familiarity with Adobe Sign or similar e-signature platforms.
• Knowledge of PEXA, Australian property searches, or Australian conveyancing processes is a plus but not mandatory.
• Required proficiency in Microsoft Word, Microsoft 365 / Microsoft Office, Adobe Acrobat or equivalent PDF software, Google Workspace or similar productivity tools, as well as video conferencing and remote collaboration platforms.
• Fully remote work environment.
• Operate under an Independent Contractor Agreement.
• Adhere to Australian business hours.
