This is a fully remote position, open to applicants in Philippines.
• Develop and oversee payment plans through the designated payment plan inbox.
• Supervise shared inboxes and address requests and correspondence within 24 business hours.
• Keep organized records of ongoing payment plans and ensure compliance monitoring.
• Record legal payments in VMS and categorize each payment for deposit purposes.
• Generate and retain backup documentation for every VMS deposit.
• Maintain payment records that are ready for audit.
• Prepare lien documentation and authorized liens for recording as indicated by the Lien Tracker.
• Communicate with residents about overdue balances prior to lien processing.
• Draft lien releases for accounts that have been satisfied.
• Organize approved accounts for legal referral as per the Legal Tracker.
• Ensure that all documentation is complete prior to referring to legal counsel.
• Liaise with attorneys regarding payments and the status of open accounts.
• Review daily email and voicemail communications.
• Interact with residents, site teams, attorneys, and legal contacts concerning collections matters.
• Previous experience in collections, accounts receivable, or a comparable administrative position — experience in community association management is highly advantageous.
• Exceptional attention to detail.
• Capability to handle a large volume of accounts, documents, and correspondence simultaneously.
• Professional proficiency in both written and verbal communication.
• Comfort in working within structured workflows and processes based on trackers.
• Competence in general computer skills and data entry.
• Dependable and self-motivated in a remote working environment.
• Consistent ability to meet daily and weekly deadlines.
• Familiarity with VMS or similar property management software is a bonus.
• Preference for candidates with experience in community association management, HOA collections, or property management.
• Preferred knowledge of lien processes, legal referral workflows, or collections compliance within a real estate or HOA context.
• Background in processing legal payments, managing payment plans, or working with attorneys on collections issues is preferred.
