This is a fully remote position, open to applicants in United States.
• Download initial assessment notes, clinical evaluations, and treatment plans from external payer platforms.
• Upload and incorporate documentation into the EHR system.
• Oversee, audit, and follow up on pending clinical documentation within assigned provider caseloads.
• Act as the primary contact for clinicians concerning documentation protocols, templates, chart addendums, and clinical review processes.
• Offer support through email and internal messaging.
• Maintain up-to-date documentation status logs and addendum tracking sheets.
• Ensure data integrity and compliance with HIPAA regulations.
• Assist in onboarding new providers by guiding clinicians on documentation expectations, EHR workflows, and compliance benchmarks.
• Facilitate documentation exchanges between clinicians and insurance representatives.
• Address chart discrepancies and respond to audit requests.
• Monitor charting delays and trends in non-compliance.
• Provide constructive feedback to operations leadership.
• Manage a standard caseload of 25–30 assigned clinicians.
• Achieve daily turnaround targets and assist with initial chart audits for new provider groups.
• Identify documentation deficiencies prior to billing or audit escalation.
• Support colleagues during peak periods or transitional coverage.
• Undertake additional responsibilities and ad-hoc projects as required by business needs.
• 1–2+ years of administrative, care coordination, or operational experience in a healthcare or behavioral health environment.
• Strong understanding of clinical documentation standards and medical records management.
• Strict compliance with HIPAA regulations (preferred).
• Proficient in navigating Electronic Health Record (EHR) systems and administrative tracking platforms.
• Experience with Google Workspace, Microsoft Excel, and web-based portals.
• Exceptional written and verbal communication skills.
• High attention to detail with the ability to prioritize a substantial daily workload.
• Capacity to manage competing deadlines and maintain focus in a fully remote setting.
• Familiarity with relevant AI platforms such as Gemini, ChatGPT, Claude, GitHub Copilot, or other industry-standard AI productivity tools.
• Must be a current resident and legally authorized to work for any employer in the U.S.
• Must be available to work Monday-Friday, 9:00 am-5:30 pm PST or equivalent U.S. time zones.
