This is a fully remote position, open to applicants in Brazil, +5 more countries.
• Develop, manage, and uphold company standard operating procedures (SOPs), process libraries, and centralized documentation.
• Oversee software subscriptions, tool licenses, and operational renewals.
• Coordinate project workflows, maintain master trackers, follow up on deliverables and deadlines, identify blockers, and ensure proper Asana project maintenance.
• Manage vendor contracts, compliance/insurance documentation, and key operational timelines.
• Prepare meeting agendas, take notes, and ensure follow-through on action items.
• Facilitate the entire recruitment and onboarding process for new team members.
• Monitor team training compliance by assigning, tracking, and ensuring completion of required modules.
• Lead virtual team-building activities and manage employee recognitions.
• Organize event planning, including virtual events and intricate in-person travel arrangements.
• Address support tickets, moderate the application feed, and escalate issues as needed.
• Potentially assist with legal and/or financial operations based on the needs of the team.
• Act as a unifying force within the team to enhance workflows, organize documentation, foster team culture, and ensure efficient daily operations.
• Execute a seamless transition as a direct replacement for a long-tenured team member.
• A minimum of 3 to 5 years of demonstrated experience in business operations or related roles with US-based firms, preferably in early to mid-stage startups.
• Fluent in English with outstanding written and verbal communication abilities.
• Residing in Central America or South America (LATAM) to align with standard US working hours.
• Highly proficient in Asana, process tools, Slack, and Google Workspace.
• Experience with AI tools such as Claude and Gemini to enhance productivity and workflows.
• Proactive, dependable, comfortable assuming ownership, collaborative, and exceptionally detail-oriented.
• Experience in the health, wellness, software, or tech sectors is advantageous.
• Candidates lacking a USA startup background will not be considered.
• Must be available to work Monday to Friday, 9 AM to 5 PM PST.
• Must be willing to work as an independent contractor and manage personal equipment, taxes, and benefits.
• Full-time contract with an initial term of 6 months and a strong likelihood of extension or renewal.
