Business Coordinator

This is a fully remote position, open to applicants in New Jersey.

📋 Description

• Act as the main point of contact for clients via phone, email, and various communication methods.

• Address customer inquiries, requests, and scheduling requirements.

• Foster relationships with both current and potential clients.

• Follow up with clients to ensure their questions, requests, and service needs are met.

• Coordinate and manage schedules for cleaning tasks and maintenance services.

• Relay scheduling information and updates to clients and internal team members.

• Organize future jobs, appointments, and service specifications.

• Ensure team members receive the necessary information to fulfill scheduled tasks.

• Identify any scheduling conflicts or operational challenges and communicate them promptly.

• Monitor and pursue maintenance contract opportunities.

• Keep records of conversations, opportunities, follow-ups, and next steps.

• Communicate with the Spanish-speaking cleaning team regarding schedules, job specifics, updates, and client needs.

• Guarantee clear communication among clients, management, and field personnel.

• Assist in the implementation and maintenance of a CRM system.

• Input and manage customer, job, scheduling, and follow-up data.

• Track open opportunities, client interactions, maintenance contracts, and upcoming tasks.

• Learn and apply CRM tools to enhance organization and visibility.

• Develop processes for documenting and handling customer information.

• Provide general administrative assistance to the business owner.


⛳️ Requirements

• Proficient in both English and Spanish — both written and spoken.

• Prior experience in customer service, administrative support, business coordination, scheduling, or a related role.

• Excellent communication skills and confidence when interacting with clients and team members.

• Strong follow-up abilities and a consistent approach to managing outstanding tasks.

• Highly organized with a keen attention to detail.

• Capable of juggling multiple priorities and shifting between various responsibilities.

• Strong problem-solving skills and effective time-management capabilities.

• Comfortable working autonomously and taking ownership of assigned tasks.

• Dependable, responsive, and consistent in communication.

• Willingness to learn new software, systems, and technologies.

• Strong team-player attitude.

• Previous experience in cleaning, property services, maintenance, construction, or other service-oriented businesses (preferred).

• Experience in coordinating field teams or service technicians (preferred).

• Experience managing recurring service or maintenance contracts (preferred).

• Previous CRM experience (preferred).

• Experience transitioning businesses from manual or paper-based systems to digital processes (preferred).

• Familiarity with scheduling or customer management software (preferred).
