This is a fully remote position, open to applicants in United States.
• Enhance the operational framework that allows the Brand & Creative team to produce consistent, high-caliber work at scale.
• Oversee Brand & Creative intake and request preparedness, which includes triage, brief/spec sheet examination, input validation, priority clarification, routing, status monitoring, and stakeholder follow-up.
• Evaluate creative briefs and specification sheets to ensure clarity regarding requirements, assets, stakeholders, deadlines, approvals, and anticipated outcomes.
• Establish and uphold intake standards across design, copy, video, presentations, webinars, events, regional, campaign, and production requests.
• Clarify priorities, urgency, ownership, and trade-offs; escalate any necessary reprioritization or resourcing decisions to the Director of Brand & Creative.
• Develop and maintain project plans that encompass scope, milestones, dependencies, owners, timelines, resource allocation, and potential risks.
• Manage multiple brand workstreams from start to finish, organizing tasks and resolving conflicts.
• Collaborate with Events, Demand Generation, Product Marketing, and regional teams on event and campaign workstreams.
• Coordinate with stakeholders, regions, agencies, vendors, and creative disciplines for webinars, campaigns, events, executive materials, regional needs, and partner-facing assets.
• Support brand governance and the approved use of assets.
• Co-manage DAM/Brandfolder logistics, including uploads, tagging, metadata, folder organization, permissions, archiving, naming conventions, and cleanup.
• Coordinate logistics for vendors, contractors, print, promotional, shipping, and production.
• Monitor Brand & Creative spending against budget, reconcile actuals, identify variances and forecast risks, and provide spending reports.
• Create templates, checklists, intake forms, asset request guidance, production specifications, vendor trackers, workflow documentation, and playbooks.
• Conduct research on vendors, tools, asset usage, process enhancements, operational bottlenecks, stakeholder needs, and workflow optimization.
• Define, monitor, and report on Brand & Creative KPIs.
• Build and maintain dashboards that display workstream status, throughput, budget utilization, and delivery performance.
• Implement process enhancements, AI-driven workflows, automation opportunities, and governance frameworks.
• Provide guidance and informal coaching on intake expectations, asset usage, brand logistics processes, and workflow standards.
• Bachelor’s degree in Marketing, Communications, Business, Design Operations, Creative Operations, or a related field; equivalent business experience will also be considered.
• Over 5 years of relevant experience in brand operations, creative operations, marketing operations, campaign operations, customer marketing operations, creative services operations, production coordination, agency traffic/production coordination, event marketing operations, marketing or creative project management, or similar roles.
• Experience in B2B SaaS, cybersecurity, IT management, managed services, enterprise software, partner/channel-led businesses, or similarly complex B2B environments.
• Proven experience in managing project plans, budget tracking, and KPI reporting or dashboards for a marketing, creative, or operations team.
• Advanced knowledge of brand operations, creative operations, marketing operations, project management, workflow coordination, production coordination, intake governance, asset management, or related processes and tools.
• Proficient in workflow and project management tools such as Asana or Monday.com; reporting and dashboard tools like Excel, Power BI, or Smartsheet; and collaboration tools such as Microsoft Teams, SharePoint, or Microsoft 365.
• Working knowledge of budget tracking and financial administration, including purchase orders, invoices, vendor estimates, accruals, reconciliation, and variance reporting.
• Practical understanding of brand governance, creative production, DAM/Brandfolder management, templates, final file organization, vendor handoffs, and review/approval processes.
• Comfortable using workflow, collaboration, DAM, presentation, creative review, spreadsheet/reporting, and AI-enabled workflow tools.
• Moderate fluency in strategically leveraging AI tools within daily workflows.
• Ability to independently manage requests, timelines, stakeholders, handoffs, resource allocation, and operational processes with minimal supervision.
• Exceptional organizational, prioritization, documentation, follow-through, and detail management skills.
• Strong collaboration, service orientation, stakeholder management, and communication abilities.
• Capacity to identify incomplete inputs, unclear ownership, unrealistic timelines, and workflow risks.
