This is a fully remote position, open to applicants in Florida.
• Assist in the daily functioning of the Branch Office and support the Branch Manager(s).
• Collaborate with Sales, referrals, and/or patients to collect any missing documentation and information in accordance with insurance requirements.
• Respond to customer phone inquiries, provide introductory information, troubleshoot typical product or service issues, address questions, and escalate concerns when necessary.
• Create and manage intakes while reviewing ACIS screens to assist customers effectively.
• Confirm delivery schedules, validate insurance, secure equipment authorization based on payor guidelines, complete processing-tool tasks, monitor faxes, and carry out data-entry document triage.
• Execute post-delivery work-order confirmation and data entry tasks.
• Initiate outbound calls, and send faxes and SMS messages to patients and referrals upon receipt of orders.
• Perform downloads of recording devices such as apnea monitors, oximeters, CPAP machines, and other respiratory equipment as directed.
• Manage audit/documentation requests and aid in document retrieval for billing purposes.
• Provide support for the overnight oximetry program.
• Collect credit card and billing information as required.
• Assist with scheduling patient appointments for equipment delivery and pickup.
• Regularly file and fax records.
• Set up or return equipment, instruct patients, complete necessary paperwork, explain insurance and out-of-pocket costs, and manage payments.
• Conduct outbound customer satisfaction calls to patients and referrals.
• Order inventory or office supplies as needed.
• Perform other assigned duties as necessary.
• Must meet the company’s minimum standards for Background Checks.
• A high school diploma or GED is required.
• A minimum of two years of relevant experience in an office setting is preferred.
• Proficient organizational skills are essential.
• Strong customer relations and problem-solving abilities.
• Excellent phone communication skills.
• Strong interpersonal and teamwork capabilities.
• Ability to effectively manage multiple tasks simultaneously.
• Proficient in communicating effectively via phone using technology software electronically.
• Completion of applicable competency testing is necessary prior to coordinating, delivering, function testing, or downloading respiratory equipment.
• Familiarity with Microsoft Office programs is required.
• Basic skills in printing, faxing, and scanning are necessary.
• Proficient in English (reading, writing, verbal).
• Basic math skills are essential.
• Knowledge of DOT/FDA Regulations is preferred.
• Bilingual abilities (reading, writing, verbal) are preferred.
• Prior experience interacting with the public in a service management capacity is preferred.
• Must be able to travel by plane and automobile if required.
• Must be capable of lifting equipment weighing up to 50 lbs.
