This is a fully remote position, open to applicants in Nicaragua, +5 more countries.
• Coordinate and schedule appointments for new patients.
• Handle follow-ups related to appointments and maintain patient communication.
• Professionally and promptly respond to patient emails.
• Make outbound calls to patients as needed.
• Follow up on calls that were missed, unanswered, or not returned.
• Provide bilingual support to patients in both English and Spanish.
• Monitor and assess incoming patient reviews on relevant platforms.
• Respond to reviews while adhering to professionalism and HIPAA standards.
• Manage automated thank-you messages for 4- and 5-star reviews.
• Review feedback from 1-, 2-, and 3-star ratings and assist in crafting professional, HIPAA-compliant responses.
• Identify recurring themes in feedback and opportunities for enhancing patient experience.
• Analyze and review patient calls.
• Pinpoint missed opportunities, communication challenges, and areas for improvement.
• Assist in reporting and operational analytics tasks.
• Analyze workflows, trends in patient communication, and performance metrics.
• Discover opportunities for efficiency and process optimization.
• Provide insights and recommendations based on data and observations.
• Collaborate with VoIP and AI systems.
• Support workflows driven by AI, automation, and technology.
• Ensure effective human follow-ups and decision-making alongside automated processes.
• Adapt to new technologies and evolving systems.
• Prior experience as a Medical Virtual Assistant, Medical Administrative Assistant, Medical Receptionist, or a similar role in healthcare administration.
• Mandatory hands-on experience with ModMed.
• Proficiency in both English and Spanish, verbally and in writing.
• Strong background in scheduling appointments and coordinating new patient intake.
• Experience in managing both inbound and outbound patient communications.
• Comfortable making outbound calls and following up with patients.
• Excellent email communication and customer service abilities.
• Preferred experience in handling patient reviews or managing reputation.
• Knowledge of HIPAA regulations and the significance of safeguarding patient information.
• Comfort with technology, including AI tools, automation, and VoIP systems.
• Strong analytical and problem-solving capabilities.
• Ability to think independently and spot opportunities for enhancement.
• A business development mindset with a strategic approach to patient engagement and practice growth.
• Exceptional attention to detail and organizational skills.
