AVP – Fund Administration

This is a fully remote position, open to applicants in Florida, +3 more states.

📋 Description

• Oversee the monthly collection of portfolio, financial, and reference data for more than 300 funds.

• Validate, reconcile, and analyze data prior to submission for regulatory compliance.

• Identify and address data discrepancies in collaboration with advisers, fund accountants, custodians, and data vendors.

• Ingest and format data into standardized templates for Forms N-PORT and N-CEN.

• Prepare and/or review regulatory documents including Forms N-PORT, N-CEN, 24f-2, N-PX, and N-CSR.

• Assist in the operational setup, vendor coordination, and documentation review for new fund launches.

• Provide support during regulatory examinations, internal audits, and due diligence assessments.

• Contribute to enhancements in operational processes and internal controls.

• Offer guidance and training to junior administrators.

• Collaborate with Compliance, Legal, Capital Markets, and Client Services teams.

• Coordinate efforts with administrators, fund accountants, custodians, auditors, and legal advisers.

• Report to the Trust Administration / Regulatory Reporting Manager.

⛳️ Requirements

• 5–7 years of experience in fund administration, ETF operations, regulatory reporting, or similar financial services positions.

• Required direct experience in preparing or supporting SEC regulatory filings for registered funds, specifically N-PORT and N-CEN.

• A Bachelor’s degree in Accounting, Finance, or a related field is preferred.

• An MBA is desirable.

• Proficient in advanced Excel functionalities, including formulas, pivot tables, data analysis, and managing large datasets.

• Strong analytical capabilities with a keen attention to detail and accuracy.

• Ability to prioritize competing tasks and meet stringent regulatory deadlines in a high-volume setting.

• Excellent communication and interpersonal skills for effective interaction with internal teams and external service providers.
