This is a fully remote position, open to applicants in Canada.
• Organize and oversee daily and weekly recording schedules for both internal and external studios.
• Schedule voice talents, Artistic Directors, Sound Operators, and recording spaces.
• Verify the availability of talent and technical resources.
• Allocate studios and resources while resolving any scheduling conflicts.
• Facilitate coordination among talents, Artistic Directors, Sound Operators, Production Coordinators, Project Managers, and the studio team.
• Monitor schedule alterations, cancellations, reschedules, pickups, retakes, and urgent operational needs.
• Ensure that recording materials and directions are prepared prior to sessions.
• Securely distribute and track materials in accordance with confidentiality standards.
• Prioritize recording time slots and address scheduling conflicts with Production Coordinators and Project Managers.
• Identify operational risks such as missing materials, resource conflicts, and unconfirmed schedules.
• Manage physical access for actors and guide them to recording studios.
• Negotiate ad hoc rates following established strategies.
• Report on project recording status to the Production Coordinator.
• Update calendars, planners, trackers, spreadsheets, and planning systems as necessary.
• Maintain documentation of sessions, confirmations, changes, cancellations, reschedules, and associated costs.
• Develop and uphold booking and scheduling guidelines, as well as document project requirements.
• Collaborate on improvements to processes and tools.
• Optimize the utilization of booths.
• Keep administrative records for supplies, bookings, session documentation, and payment information.
• Handle paperwork related to talents, vendors, and external audio resources.
• Acquire signatures and archive contracts, NDAs, Actors’ Agreements, and vendor documentation.
• Sustain communication with the local Audio Production Team and both internal and external stakeholders.
• Assist in client-facing activities when necessary.
• Provide operational support to Production Coordinators and the Recording Studio Manager during high-demand periods or absences.
• Prior experience in production coordination, booking, planning, casting, dubbing, audiovisual production, localization, or similar fields.
• Strong capability to organize and manage multiple schedules simultaneously.
• Exceptional written and verbal communication skills in English.
• Proficient knowledge of Google Workspace, Excel/Sheets, shared calendars, and operational trackers.
• Familiarity with the video game industry, including publishers, developers, and platforms, is advantageous.
• Ability to adapt to changing workflows and new tools.
• Knowledge of relevant local regulations is a plus.
• Experience in dubbing, game localization, voice-over, or audio post-production.
• Understanding of workflows within recording studios.
• Experience dealing with contracts, NDAs, freelancer payments, or vendor documentation.
• Familiarity with file transfer tools and material tracking processes.
• Proficiency in Spanish is a plus.
• Capable of working under pressure, adjusting to shifting priorities, and meeting deadlines in a fast-paced environment.
• Proactive, reliable, detail-oriented, and possessing a strong sense of urgency.
• Effective communicator with talents, vendors, technical teams, and internal stakeholders.
• Able to manage sensitive, confidential, and client-related information responsibly.
• Skilled in using sound judgment to prioritize tasks and negotiate rates and availability with external resources.
• Strong problem-solving, decision-making, organizational, and analytical skills.
