
AU Project Manager, Administrator β Construction

This is a fully remote position, open to applicants in Philippines.
β’ Oversee construction initiatives from initial planning to final execution
β’ Manage project timelines, schedules, milestones, and ongoing tasks
β’ Collaborate with trades, contractors, suppliers, and project stakeholders
β’ Follow up with trades and suppliers to ensure adherence to deadlines
β’ Identify potential delays, dependencies, and risks
β’ Coordinate necessary materials, equipment, and site needs
β’ Keep management updated on project status, delays, and critical decisions
β’ Maintain precise project records, information, tasks, and documentation
β’ Assist in developing project management processes, templates, checklists, workflows, and standard operating procedures (SOPs)
β’ Communicate with Australian trades, suppliers, local government, and regulators via phone
β’ Verify availability, pricing, and timelines; follow up on overdue tasks and commitments
β’ Identify alternative suppliers or contractors when necessary
β’ Research Australian suppliers, contractors, products, services, councils, policies, and regulations
β’ Compare supplier pricing, specifications, and availability while presenting actionable recommendations to management
β’ Maintain project documentation in project management systems and organize quotes, contracts, drawings, and supporting materials
β’ Provide general administrative support, maintain spreadsheets and trackers, follow up via email, schedule tasks, enter data, report updates, and communicate project progress
β’ Assist with Xero or basic financial administration when needed
β’ Occasionally offer executive assistant and personal support, including research, bookings, coordination, documentation, and other ad hoc tasks
β’ Utilize AI tools to expedite research, analysis, drafting, and routine workflows while ensuring the accuracy of generated information
β’ Identify opportunities for workflow enhancements through AI and automation
β’ Demonstrated experience in construction project management β essential
β’ Strong comprehension of construction workflows, trades, suppliers, and project interdependencies
β’ Excellent verbal and written English communication skills
β’ Confident and assertive telephone communication abilities
β’ Strong project coordination and deadline management skills
β’ Superior research and problem-solving capabilities
β’ Capacity to handle multiple competing priorities simultaneously
β’ Proficient in computer technology
β’ Prior experience using project management tools/software
β’ Basic proficiency with AI tools
β’ High level of initiative and ability to work autonomously
β’ Comfortable functioning without detailed SOPs or established procedures
β’ Willingness to undertake administrative, executive assistant, and ad hoc operational tasks in addition to core project management duties
β’ Previous experience in the Australian construction industry β highly desirable
β’ Experience supporting Australian builders, developers, or construction enterprises β highly desirable
β’ Familiarity with Australian trades, suppliers, and construction terminology β highly desirable
β’ Understanding of Australian council and approval processes β highly desirable
β’ Experience coordinating permits, approvals, or requirements such as Section 68 applications β highly desirable
β’ Background in modular, prefabricated, or transportable construction β highly desirable
β’ Experience communicating with Australian clients or stakeholders β highly desirable
β’ Basic proficiency with Xero β highly desirable
