This is a fully remote position, open to applicants in Maine.
• Participate in the planning and execution of projects and program operations.
• Assist in project planning, tracking, reporting, documentation, and coordination across various teams and service areas.
• Work collaboratively with management and peers to establish objectives, create plans, and implement processes.
• Maintain regular communication with internal stakeholders and contribute to the preparation of written project materials.
• Monitor milestones, coordinate resources, schedule meetings, and manage action items, while also supporting onboarding efforts.
• Grasp the scientific goals of sponsors and collaborators, ensuring projects progress by identifying obstacles, ambiguous priorities, and resource shortages.
• Record project objectives, milestones, team roles, responsibilities, tasks, and timelines.
• Organize and manage project communications, team meetings, breakout sessions, subteam meetings, and daily standups; ensure meeting minutes are kept.
• Provide and disseminate project status updates to collaborators, sponsors, and stakeholders.
• Oversee and document research objectives, task priorities, statuses, resources, decision points, and sponsor satisfaction.
• Conduct project accounting tasks, including monthly grant accounting and service billing reporting.
• Lead daily meetings, track daily tasks, coordinate routine communications, and ensure operational follow-through.
• Assist in formulating communication plans and maintaining dashboards, reports, and project reporting materials.
• Support departmental administrative and operational functions, including financial and service billing reporting, intake and service request processes, and maintaining project, vendor, and program records.
• Coordinate with team members involved in assigned projects and operational workflows.
• Bachelor’s Degree is mandatory.
• Specialization in Life Sciences is required.
• Project management certification is preferred.
• Familiarity with and experience in project management, especially agile/iterative project management methodologies.
• Knowledge of and experience in biological sciences, particularly genetics, genomics, and the scientific method, is preferred.
• Understanding of and experience in computer science, particularly software development/engineering, is preferred.
• Exceptional oral, digital, written, and listening communication skills.
• Proficient in managing timelines through analytical and problem-solving skills.
• Capable of organizing, managing, and overseeing multiple projects to successful completion while adapting to changing priorities in a high-pressure environment.
• Ability to effectively collaborate with technical teams and assist in coordinating and tracking software development activities and related project tasks is preferred.
• Skilled in tracking commitments, following up on outstanding tasks, and escalating delays or issues as necessary.
• Ability to identify scheduling conflicts, dependencies, missing information, and other challenges that may affect planned activities.
• Capable of maintaining visibility of assigned tasks, priorities, and deadlines while adjusting coordination activities accordingly.
• Strong interpersonal skills to lead others, foster consensus, and collaborate effectively with diverse individuals and groups.
• Competent in managing the expectations of collaborators and managers while motivating team members to execute and deliver results.
