Assistant Project Manager – MEP Design

This is a fully remote position, open to applicants in California, +4 more states.

📋 Description

• Support all aspects of routine projects (90%)

• Project Coordination: Work closely with the Project Manager to manage project timelines, monitor milestones, and oversee workflow to ensure on-time delivery of project phases.

• Serve as a point of contact between internal teams, clients, and contractors to ensure smooth communication and address issues swiftly.

• Maintain project documentation and organize files, guaranteeing all stakeholders have access to the latest information.

• Construction Administration: Oversee and distribute RFIs, submittals, transmittals, and other documentation related to the project.

• Track construction progress by maintaining logs and monitoring contractor inquiries or responses.

• Ensure all construction administration activities are executed in accordance with project specifications and standards.

• Revit and Technical Support: Support Revit tasks, including the creation, editing, and maintenance of design models and drawings.

• Evaluate models for quality and precision, ensuring they fulfill project requirements.

• Provide drafting support as needed to accelerate the development of drawing sets for submission.

• Meeting and Communication Support: Prepare meeting agendas, take comprehensive notes, and distribute summaries with clear action items and deadlines.

• Follow up with team members on their assigned tasks and send reminders for upcoming deadlines.

• Present project updates to internal stakeholders in a clear and concise manner.

• Proactive Task Management: Anticipate project needs by identifying potential risks, bottlenecks, or inefficiencies, and propose solutions to keep the project on track.

• Regularly assess project workflows and suggest process enhancements to boost team efficiency.

• Take initiative to resolve minor issues independently, escalating significant concerns to the Project Manager.

• Stakeholder Engagement: Foster strong relationships with clients, contractors, and vendors to encourage collaboration and ensure alignment on project objectives.

• Respond promptly to inquiries from stakeholders, delivering accurate and professional communication.

• Coordinate deliverables and submissions to satisfy client and regulatory requirements.

• Quality Control and Reporting: Conduct quality checks on documentation, drawings, and models to ensure consistency and accuracy.

• Attend site visits and review existing condition surveys while assisting with punchlists.

• Help prepare status reports and updates for both internal and external stakeholders.

• Document lessons learned during projects for future reference.

• General Administrative Support: Organize and maintain project records, ensuring all information is current and accessible.

• Assist in onboarding new team members by providing project-specific training and guidance on workflows.

• Contribute to departmental goals by taking on additional responsibilities or participating in firm-wide initiatives as necessary.

• Administrative (10%): Provide routine reporting through narrative and photographic documentation. Complete project and departmental reports.

• Technology, Digital Tools & AI-Enabled Efficiency: Utilize AI-enabled and digital tools to boost efficiency, minimize manual effort, and ensure consistent, high-quality work output. Identify opportunities for process improvement and demonstrate a commitment to continuous learning by exploring new technologies, skills, and methods that enhance individual and team performance. Adapt to emerging technologies and evolving digital workflows, actively supporting the integration and adoption of innovative tools across the organization. Complete assigned tasks and deliverables on time and within budget.

⛳️ Requirements

• B.A. / B.S. degree in engineering, construction, or a related field

• Minimum of three years of relevant MEP consulting experience

• Understanding of industry trends, project management, and construction procedures and best practices

• Familiarity with MEP / FA / FP trades and their general requirements

• Proficient in producing drawings and visual aids using Revit

• Skilled in using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), with exceptional organizational skills for file management

• Experienced in using project management software such as Procore

• Knowledge of the Method of Procedure (MOP) Process, work notifications, and safeguarding IT networks and other equipment during construction

• Detail-oriented, with the ability to complete assignments accurately

• Capability to work successfully in a remote environment through effective communication, organizational skills, self-motivation, proactiveness, and resourcefulness in a distraction-free workspace

• Ability to adhere to company and site safety requirements

• Proficient in analyzing and preparing documents, reports, and correspondence

• Effective communicator in both oral and written forms (technical and non-technical information)

• Ability to work collaboratively as part of a team and independently with moderate supervision

• Capable of working under pressure and meeting tight deadlines

• Ability to effectively plan and delegate the work of others

• Strong organizational skills, with the capacity to manage multiple tasks simultaneously
